The Role
We're hiring a CRM Systems Specialist to build and maintain our clients' HubSpot instances. This is a hands‑on systems role working across multiple client portals at once - each one a different company with its own pipelines, intake process, and definition of a qualified lead.
Professional services clients rarely run clean, standardized environments. You'll need to keep each account straight, map a process before you change it, and catch a broken enrollment trigger before the client does. The work is primarily configuration, but you'll also talk directly with each firm's team to learn how they sell and handle intake, then build a setup that matches how they actually work.
What You'll Own
Build & Configure
- Create and maintain HubSpot workflows across multiple client portals (Sales, Marketing, and Operations Hub)
- Design lead routing, lifecycle and deal stages, and pipelines for non-standard sales and intake processes
- Build custom reports and dashboards for pipeline tracking and performance
- Configure and maintain integrations between client portals and tools like Clio, RingCentral, and call‑tracking platforms
Data & Governance
- Keep each firm's data clean through field standardization, custom objects/properties, and validation rules
- Audit workflows and data regularly to catch logic gaps, redundant steps, and broken triggers
- Manage users, roles, and data-access permissions in each account
Document & Enable
- Map and document each client's processes before and after building them out
- Create and maintain enablement materials — playbooks, onboarding, knowledge base articles, training videos
- Run training sessions and provide one‑on‑one support for client teams
- Communicate portal status, changes, and blockers on a regular cadence
What You Bring
Required
- 2+ years working inside HubSpot
- Comfort with complex workflow logic: branching, re‑enrollment, date‑based triggers, cross‑object dependencies
- Experience owning integrations between HubSpot and external systems
- Ability to map and document a process before and after building it
- Ability to manage multiple client portals without mixing up context
- Strong attention to process detail and clear written communication
Preferred
- Agency, MSP, or consulting background managing HubSpot for multiple clients
- HubSpot certifications
- Experience building reporting or BI on top of CRM data
- Familiarity with legal tech (Clio or similar)
- Comfort moving between CRM platforms; Salesforce experience is a plus
