Overview of the Position

The Program Associate position provides support to the Criminal Justice Initiatives (CJI) at Borealis Philanthropy. CJI resources the most visionary grassroots organizing groups in the country to end mass incarceration as a key step toward justice, equity, and freedom for all communities. CJI manages two funds, the Communities Transforming Policing Fund (CTPF) and the Spark Justice Fund (SJF), which both target strategic intervention points at the front door of the criminal justice system - policing and pretrial detention. By supporting work to develop transformative, community-driven alternatives to policing and pretrial detention, CJI aims not only to stem the flow of people into the justice system, potentially preventing millions of people over time from being incarcerated, but also to advance meaningful investments into the priorities identified by the communities most impacted by incarceration.

Reports to: Director of Criminal Justice Initiatives

MAJOR RESPONSIBILITIES:

Grantmaking:

  1. Entering and retrieving information into/from our grants management database Salesforce, including assisting in the design of the Request for Proposals (RFP) and reports in Salesforce.
  2. Assist with inquiries from applicants.
  3. Review proposals to make sure all information has been submitted.
  4. Assist with the preparation of written summaries of grant recommendations to donors and the Board of Directors.
  5. Assist with grantee notifications and ongoing communications.
  6. Research organizations and jurisdictions and other issues related to the Funds’ work.

Meeting coordination/Grantee Support:

  1. Provide logistical support in the development of grantee peer-learning activities (including grantee convenings and webinars).
  2. Provide support for donor meetings, forums, community briefings, grantee gatherings, and webinars. Specific tasks include: meeting planning, creation of meeting materials, preparation and distribution of minutes and meeting materials, meeting follow-up work, hosting of webinars, etc.
  3. Assist in scheduling calls and video conferences.
  4. Maintain and update contact and mailing lists.
  5. Help researching and writing weekly newsletters to grantees.
  6. Assist with tracking of Funds.

General administrative support:

  1. Generate payment requests and invoice processing.
  2. Update Fund webpages as necessary.
  3. Maintain program files.
QUALIFICATIONS
  1. 2+ years’ experience working in a nonprofit organization, preferably with some experience in dealing with foundations. Experience at a grantmaking organization is highly preferred.
  2. Experience with, and strong interest in, criminal justice organizing and advocacy.
  3. Experience with Salesforce.
  4. Strong interest in philanthropy or nonprofit sector/community work.
  5. Excellent interpersonal skills and ability to work with a range of groups, including donors, consultants, and community leaders.
  6. Experience working with diverse communities.
  7. Sensitivity to confidentiality needs.
  8. Strong administrative skills, including accurate and timely preparation of reports, time management, and organization.
  9. Strong communications skills, both written and oral.
  10. Strong ability and desire to work in a team environment.
  11. Excellent planning and organizational skills, ability to manage multiple tasks and priorities and provide administrative and programmatic support to several different people.
  12. Expertise with GSuite (Docs, Sheets, Slides, and Gmail) and familiarity with or comfortability learning how to use grant management software such as Salesforce, Fluxx, Bill.com, etc.
  13. Ability to work remotely with a staff team located in different parts of the country.

Compensation and Benefits:
