Job summary

VeloSource is seeking a Credentialing Specialist to manage the full credentialing and privileging lifecycle for assigned providers, ensuring files are complete, accurate, and compliant across client and facility requirements.

You will serve as the central contact for providers, clients, and internal teams, maintaining timelines, coordinating verifications, and guiding through documentation with a focus on quality and efficiency.

Qualifications

  • High school diploma or equivalent; associate or bachelor's preferred.
  • 2+ years in healthcare credentialing or medical staff services.
  • Experience credentialing physicians and APPs; locum tenens/healthcare staffing preferred.
  • Knowledge of licenses, registrations, certifications, and facility privileging requirements.
  • Experience coordinating multiple client facilities and detailed applications.

Responsibilities

  • Manage full-cycle credentialing and privileging files from initiation to renewal.
  • Prepare, quality-check, and submit credentialing and privileging applications and addenda.
  • Collect and verify education, licenses, board status, DEA, and other items.
  • Coordinate primary-source verifications, background checks, and sanctions where required.
  • Maintain timelines across multiple files and communicate status and risks.
  • Collaborate with client credentialing teams, MSP/VMS, Recruitment, and Licensing.
  • Ensure data integrity and audit-ready records in credentialing systems.
  • Escalate gaps or delays to protect provider start dates.

Position Overview:

VeloSource is seeking a Credentialing Specialist to manage the full credentialing and privileging lifecycle for assigned healthcare providers, from initiation and document collection through submission, approval, and start-date readiness. This role ensures credentialing files are complete, accurate, and compliant with client, facility, and applicable regulatory requirements. Serving as a central point of contact, the Credentialing Specialist works closely with providers, clients, and internal teams to remove barriers, protect timelines, and create a responsive, organized credentialing experience.

Key Responsibilities:

  • Full-Cycle Credentialing: Manage assigned physician and advanced practice provider credentialing and privileging files from initiation through facility approval, reappointment, and ongoing maintenance in accordance with client and facility requirements.
  • Application Preparation & Submission: Prepare, complete, quality-check, and submit credentialing and privileging applications, reappointments, addenda, and supporting materials accurately and within required timelines.
  • Document Collection & Verification: Collect, review, and track required documentation, including education and training, work history, licenses, board status, DEA and controlled-substance registrations, certifications, references, malpractice history, health records, identification, and other supporting items, as applicable.
  • Primary Source Verification & Compliance: Coordinate primary-source verifications, sanctions and exclusions checks, background screenings, peer references, database queries, and other required reviews in accordance with company, client, and facility requirements.
  • Timeline & Start-Date Management: Maintain credentialing timelines across multiple active files, monitor outstanding and expiring requirements, conduct consistent follow-up, and proactively communicate or escalate barriers that may impact provider start dates.
  • Provider Support & Communication: Serve as a primary credentialing contact for assigned providers, clearly communicate requirements and expectations, provide timely status updates, and guide providers through missing, incomplete, or conflicting information.
  • Client & Facility Coordination: Communicate with client credentialing teams, medical staff offices, and MSP/VMS partners regarding application status, supplemental requests, approvals, and outstanding requirements.
  • Cross-Functional Collaboration: Partner with Recruitment, Account Management, Licensing, Quality Assurance/Risk, Scheduling, and other operational teams to maintain aligned expectations, seamless handoffs, and accurate status reporting.
  • Data Integrity & Records Management: Maintain accurate credentialing activity, requirements, expiration dates, approvals, correspondence, and file status within credentialing and internal operational systems. Ensure records are complete, audit-ready, and handled confidentially.
  • File Integrity, Issue Resolution & Escalation: Proactively identify documentation gaps, discrepancies, quality concerns, and potential delays; investigate and drive resolution while escalating material risks or barriers early and appropriately. Maintains command of assigned files and can clearly communicate current status, outstanding requirements, next steps, and identified risks at any time.
  • Quality, Productivity & Continuous Improvement: Meet established expectations for accuracy, productivity, responsiveness, and turnaround time; participate in audits, metric review, process standardization, and workflow improvements.
  • Perform other credentialing and operational duties as assigned.

Qualifications and Experience:

  • High school diploma or equivalent required; associate or bachelor's degree in healthcare administration, business, or a related field preferred.
  • 2+ years of direct healthcare credentialing, privileging, or medical staff services experience preferred.
  • Experience credentialing physicians and advanced practice providers; locum tenens or healthcare staffing experience strongly preferred.
  • Working knowledge of provider licenses, registrations, certifications, primary-source verification, and facility privileging requirements.
  • Experience preparing and managing detailed facility applications and supporting documentation across multiple clients or locations.
  • Proficiency with credentialing platforms, applicant tracking systems, document-management tools, databases, and Microsoft Office applications.
  • Experience coordinating provider licensing or working within MSP/VMS environments is a plus.
