About the Role
As our Creative Support Specialist, you will be the linchpin of our Web Operations team, juggling multiple projects while delivering top-notch results. This role is ideal for someone who thrives in a fast-paced environment and is excited about:
- Bringing websites to life with WordPress, Elementor, and Beaver Builder page builders
- Crafting designs that captivate and convert using Figma, Canva, the Adobe Suite, and other design tools
- Managing client requests with precision and care
- Collaborating across teams to deliver exceptional results
What You'll Do
- Transform client requests into pixel-perfect web updates and graphic designs
- Manage and execute web and graphic design client requests from concept to delivery
- Assist in preparing the team for Web Discovery and Strategy calls with clients
- Create landing pages and funnels in CRM (HighLevel)
- Set up and style forms, integrations, and workflows in our CRM (HighLevel)
- Continually improve our processes and overcome challenges
- Provide technical support and troubleshooting when needed
Position Overview
This is a generalist role that is perfect for someone with expertise in multiple areas including web design, development, graphic design, CRM software, and other related multimedia tasks. The person must be able to handle multiple projects while communicating with clients effectively — all while remaining calm under pressure.
Responsibilities
- Client Requests: Complete web and graphic design updates as requested by existing clients
- Communication: Communicate confidently and clearly with clients via email, text, and calls to move projects from concept to delivery
- Project Management: Coordinate timelines ensuring tasks are completed as scheduled
- Collaboration: Assist Senior Design Specialist with Figma design page layouts and Senior Web Specialist with sites in development (design, layout, updates, QA, coding, admin/documentation, and more). Assist teams including web, design, development, SEO, content, sales, customer service, and onboarding as needed
- Vendor Management: Work with third-party agencies on creative projects with high quality and accuracy
- Process Improvement: Continually refine processes, set up safeguards, remove roadblocks, and support the team with various challenges
- Integrations & Workflows: Set up and style forms and integrations/workflows for website projects inside CRM (HighLevel). CRM forms are embedded on our websites
- Organization: Manage the organization and storage of web/design assets on Google Drive
- Technical Support: Provide technical support for software and tool-related issues when necessary
- Client Service: Demonstrate a strong understanding of customer service to ensure the highest level of service
- Brand: Understand and maintain brand identity for our clients. Assist in logo design, collateral, and other graphics as needed
Results Expected
- Timely Completion of Web and Design Updates: Ensure client updates are completed promptly and accurately, contributing to client satisfaction and retention
- Seamless Project Management: Facilitate smooth communication with clients and internal teams, moving projects from concept to delivery within timelines
- Efficient Onboarding Process: Assist in client calls preparation, including agendas, site audits, and post-call task updates
- Clear and Effective Communication: Communicate confidently with partners, with strong attention to detail and grammar
- Cross-Team Collaboration: Collaborate with multiple teams to achieve project goals
- High-Quality Creative Output: Work with Senior Web and Design Specialists and third-party agencies to produce high-quality websites and graphics
- Process Refinement: Continually refine processes and remove roadblocks
- CRM Management: Set up forms and integrations/workflows in the CRM to streamline project management and data accuracy
- Asset Organization: Manage organization and storage of assets for easy access
- Technical Support: Provide timely technical support to minimize disruptions
- Customer Service Excellence: Maintain strong customer service standards and stay current with trends
Requirements
- Minimum of 2 years of experience in digital marketing, preferably in the dental or orthodontic sector
- Minimum of 3 years experience in web design/development, landing pages, and graphic design
- Familiarity with HighLevel (preferred), ClickFunnels, or similar CRM tools
- Proficient with Figma, WordPress, Elementor, Slack, Google Workspace, and ClickUp or similar project management system
- Skilled in web design, graphic design, video editing, and multimedia
- Exceptional time management and analytical skills
- Extremely detail-oriented, organized, and systems-minded
- A collaborative spirit and ability to thrive in a fast-paced agency setting

Compensation
- $60,000 - $75,000 (depending on experience)
