About the Role
We're looking for a wildly organized, detail-loving, calm-under-pressure human to run creative production across the entire agency. You'll sit at the center of everything we make — owning the pipeline from brief to final deliverable, keeping every project moving, and making sure the right work lands in the right hands at the right time.
Things move fast here. Priorities shift. "Quick asks" happen. The right person thrives in that environment — moving pieces around, staying cool, and keeping everyone else feeling calm and supported. You're not client-facing. You're the engine room. The team that makes the work depends on you to keep them focused, unblocked, and sane.
What You'll Be Doing
Daily Production Management
- Own the 30,000-foot view of everything in production across all clients — always knowing what's in flight, what's next, and what might go off track
- Build and manage production schedules for all creative assets (video, static, carousel, GIF, UGC, iterations)
- Process and route final deliverables — downloading completed work, organizing assets, and ensuring everything is stored correctly in shared drives
- QC briefs before they hit production — catching missing specs, inconsistencies, or anything that'll cause rework downstream
Team & Contractor Coordination
- Create and assign tasks to editors, designers, and contractors in Fibery — matching the right person to the right project based on skill, availability, and turnaround
- Directly manage a production team of 4–7 people (mix of internal and contract creatives across multiple time zones), including daily work assignments, revision routing, and deadline management
- Manage external contractor relationships — onboarding new contractors, tracking weekly hour caps, and maintaining quality standards
- Partner with our Sr. Video Editor on internal footage and asset systems
Capacity & Communication
- Monitor team capacity in real time — proactively flagging when we're maxed out, negotiating realistic timelines, and making sure leadership and account managers know what's possible before they commit
- Lead weekly production and trafficking syncs to align priorities, surface risks, and keep the team on the same page
- Be the person we go to when something urgent drops and we need to make it happen — shifting priorities, reassigning work, solving for fast-turn requests without creating chaos
- Share that 30,000-foot view with the broader team so nothing is a surprise
Systems & Process Ownership
- Take full ownership of our production systems (Fibery workflows, project templates, asset management) — keeping them clean, organized, and actually useful
- Set up new client onboarding from the ops side — building Drive folder structures, configuring Fibery project templates, and pulling brand assets so the team can hit the ground running
- Continuously improve how we work — evolving systems, refining processes, and finding ways to make things faster, clearer, and less chaotic
What We're Looking For
- 3+ years in production management, traffic management, or creative operations at an agency or in-house creative team
- Deep experience with project management tools — Fibery is ours, but if you've mastered Asana, Monday, ClickUp, or similar, you'll pick it up fast
- You've managed creative people (editors, designers, contractors) and know how to keep a team moving without micromanaging
- Exceptional organizational skills — you can track 50+ projects across 14 clients and still know exactly what's due tomorrow
- Strong written communication — you'll live in Slack and Fibery, and clarity matters
- Work hours are 9am-5pm eastern - though you should be comfortable working async with other members of FireTeam around the world.
- You stay calm when everything is on fire. That's the whole job some days.
Nice to Have
- Experience in performance marketing or DTC advertising — understanding ad platform specs, creative testing velocity, and iterative production
- Familiarity with AI-assisted production tools or workflow automation
- Basic creative production skills (video editing, design) — you won't need them daily, but they help when you're triaging or filling gaps
- Experience with Frame.io, Recharm, or similar creative review and asset management tools
