Our Coworking and Parts Drop Transaction Manager manages and execute lease transactions (including coworking agreements, third party leases, storage agreements, etc.) while fostering client relationships and business growth. They primarily work through a dedicated process to deliver executed lease documents in a high- volume environment while maintaining critical client performance metrics. You will work independently or as part of a team including close coordination with those in a supporting role. You also may work on special projects/assignments as needed.
Parts Drop Transactions
Manage transactions for a national strategic client. Providing regular updates.
RFP drafting and negotiations. Lease drafting and reviewing and redline landlord forms. Remove barriers and follow up to completion.
Engage directly with other Lines of business - Lease Admin, Finance, etc.
Attend regular meetings and conference calls
Identify opportunities to improve client Parts Drop and Coworking transaction management process
Work directly with client and team members to resolve transaction and landlord issues
Actively manage detailed notes and records for each transaction
Gather and evaluate real estate market and property data
Prepare commission invoices and track transactions in proprietary software programs
Confirm annual strategy for existing portfolio
Coworking Systems & Records Maintenance
Monitor coworking request submission; drive timely review & approval of requests
Maintain coworking data (e.g. memberships, credits, utilization, changes, etc)
Maintain coworking program documents (contracts, communications, etc) into a centralized location
Communications, Training & Reporting
Manage coworking SharePoint site & employee program communications and training programs
Monitor coworking usage & cost prepare regular reports for leadership
Partner with BI team to develop reports and dashboards
Monitor coworking inbox, provide responses and escalate items as needed
Operational Excellence
Evaluate effectiveness of coworking process & tools globally on an ongoing basis
Recommend changes to drive cost savings, improved employee experience
Develop/Implement/manage tools to optimize the coworking program
Provider/Client/JLL Liaison
Reconcile clients coworking member data against vendor-provided records
Oversee invoice processing/reconciliation/payment (in partnership with JLL Finance)
Required Education and Experience
Bachelors Degree or relevant experience on managing complex programs
Real estate salespersons or brokerage license
Preferred Education and Experience
2+ years experience of transaction/leasing experience, project and/or programs in Corporate Real Estate environment
Knowledge of real estate leases and negotiations
Excellent verbal and written communication
An organized and methodical approach to manage multitude of portfolio of transactions
Ability to work independently and within a team to build relationships and interact effectively with business partners and clients
Ability to master client processes and prioritize phone conversations with transaction stakeholders
Ability to multi-task, work successfully under pressure, effectively prioritize, and manage time and workload
Understanding of and commitment to client services
Willingness to take on new challenges, responsibilities, and assignments
A desire to work within a diverse, collaborative, and driven professional environment
Background in flexible office space, project management, or project strategy planning is desirable.
Proficient in Microsoft Office
Estimated total compensation for this position:
95,000.00 - 115,000.00 USD per yearThe total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
