This position acts as the primary clerk for the court and provides customer service, cashiering and general office support to the municipal court administrative office.
Work is performed under the administrative supervision of the Court Administrator.
Essential Functions
- Customer Service: Primarily assists the public at the counter and by phone regarding court procedures, fines, schedules and related information.
- Accounts Receivable/Cashiering: Collects payments made at the counter, including substantial sums of money. Processes mailed payments, records payment information and enters into computer system, balances cash drawer.
- Ticket & Data Entry: Enters and/or uploads tickets and court dispositions into the court system and updates information to ensure complete and updated records.
- Mailings & Correspondence: Prepares mailings and correspondence, including date generated notices related to unanswered tickets.
- Scheduling: Schedules court dates, coordinates with appropriate parties and facilitates Zoom calls for hearings.
- Court Files & Records: Files information and assists in the maintenance of court records and files.
- New Case Filings: Works with the public safety department on new case filings, ensuring completeness and accuracy of related information.
- General Office: Makes copies, types and provides general secretarial, clerical and administrative support to the court.
- Court Recorder: Serves as a court recorder. An employee in this position may also be called in or have on a non-scheduled workday to handle arraignments, etc. A person in this position may also come in early or staying over from their regular shift, or the eight hour day may, with notice, be set to start and end at a non-standard time. Other flex time arrangements may also be utilized.
- Assists with administrative duties in absence of court administrator.
- Produces and disseminates reports as assigned.
- Serves various clerk duties as assigned including courtroom, civil, misdemeanor, felony, jury and probation functions of the Court. Specific duties may include processing and filing notices, orders, dispositions, garnishment, warrants, show causes and associated activities.
- Performs other duties as assigned.
Position Requirements
- High school graduation or GED equivalent.
- Ability to become LEIN certified.
- Ability to obtain and maintain State Certification as a Court Recorder
- Previous experience in customer service, office work and general bookkeeping is preferred.
- Knowledge of office procedures and best practices related to customer service.
- Knowledge of municipal operations to effectively direct and assist customers.
- Skill in using a variety of office equipment including computers, printers & related software.
- Skill in typing and entering data with speed and accuracy with strong attention to detail.
- Ability to make accurate mathematical computations to maintain a cash drawer and balance the daily deposit.
- Ability to communicate effectively and work constructively with others.
Physical Requirements
An employee in this position spends the majority of their time in an office setting with a controlled climate where they work on a computer for periods of time while sitting and/or standing, communicate by telephone or in person, and move around the office to assist customers and complete other administrative duties.
