Job summary

The USO seeks a Coupa Administrator to own configuration, administration, and continuous improvement of the Coupa BSM platform in Arlington, VA. You will partner with Procurement, Finance, AP, IT and stakeholders to ensure compliance and optimal spend management.

Requirements include a Bachelor’s degree and 3–7 years in Coupa administration or similar; Coupa and ERP integration experience, SQL skills, and strong procurement knowledge are essential.

Qualifications

  • Bachelor’s degree in business, information systems, finance or related field; Coupa cert preferred.
  • 3–7 years administering or supporting Coupa or a similar P2P/Spend Management platform.
  • Experience with Coupa integrations to ERP systems; familiarity with SQL and reporting tools.
  • Strong procurement, accounts payable and finance process knowledge.

Responsibilities

  • Serve as primary Coupa system administrator, manage configurations and workflows.
  • Support Procure-to-Pay, Sourcing, CLM, Invoicing and Supplier Management modules.
  • Test and deploy system changes and quarterly Coupa releases.
  • Provide Tier 2/3 support and coordinate with IT and Coupa Support.
  • Assist with data validation, reporting, and audit readiness.
  • Document configurations and drive process automation and improvements.

The Coupa Administrator is responsible for the configuration, administration, support, and continuous improvement of the Coupa Business Spend Management (BSM) platform. This role partners closely with Procurement, Finance, Accounts Payable, IT, and business stakeholders to ensure Coupa is optimized, compliant, and aligned with organizational policies and business objectives.

Principal Duties and Responsibilities (*Essential Duties)

System Administration & Configuration

  • Serve as the primary system administrator for the Coupa platform.
  • Configure and maintain system settings, approval workflows, business rules, catalogs, suppliers, and user roles.
  • Manage Coupa modules such as Procure-to-Pay (P2P), Sourcing, Contract Lifecycle Management (CLM), Invoicing, and Supplier Management
  • Perform testing and deployment of system changes, enhancements, and quarterly Coupa releases.
  • Manage user access, permissions, onboarding, and role-based security.
  • Support supplier onboarding, enablement, and maintenance within Coupa.
  • Act as a point of escalation for user and supplier issues.

Support & Troubleshooting

  • Provide Tier 2/3 functional support for Coupa-related issues.
  • Troubleshoot system errors, transactional issues, and integration failures.
  • Coordinate with Coupa Support and internal IT teams to resolve incidents.

Integrations & Data Management

  • Support integrations between Coupa and Sage Intacct Accounting System
  • Monitor data accuracy for master data, suppliers, chart of accounts, and approval hierarchies.
  • Assist with data validation, reporting, and audit readiness.

Reporting & Analytics

  • Develop and maintain standard and ad-hoc reports and dashboards.
  • Support spend analysis, compliance reporting, and management insights.
  • Ensure data integrity and consistency across reporting outputs.

Governance, Compliance & Continuous Improvement

  • Ensure Coupa configurations align with procurement and financial policies.
  • Document system configurations, procedures, and controls.
  • Identify opportunities for process automation and system optimization.
  • Participate in audits and compliance reviews related to spend management.
  • Other duties as assigned.
  • This is an in-person position located in Arlington, VA.

Job Specifications

  • Bachelor’s Degree in Business, Information Systems, Finance, Supply Chain, or a related field (or equivalent experience) preferred. Coupa Administrator or Implementation Certification
  • 3-7 years work experience administering or supporting Coupa or a similar P2P/Spend Management platform. Relevant experience in a, not-for-profit, military, multicultural and/or global organization preferred.
  • Experience supporting Coupa integrations with ERP systems. Familiarity with SQL, data analysis, or reporting tools.
  • Strong understanding of procurement, accounts payable, and finance business processes.
  • Experience with workflow design, approval hierarchies, and business rules.
  • Excellent problem-solving, communication, and stakeholder management skills.
  • Strong analytical, interpersonal, customer service and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism. Ability to manage and influence external vendor relationships.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
  • Must show initiative, self-motivation, and attention to detail with the ability to manage multiple projects with competing priorities. Ability to quickly and easily adapt to changing organizational needs.
  • Ability to achieve desired results while working collaboratively in a team environment.
  • Ability to perform basic business/accounting functions including project management and budget reconciliation.
  • Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.

  • This is an in-person position located in Arlington, VA.
  • The salary range for this position is $76,000-$99,750.
  • To support pay transparency, this posting includes the anticipated base salary range for this role. Compensation is determined based on several factors including geographic location, relevant experience, specialized skills, certifications, and overall alignment with the position requirements. Our compensation practices are designed to ensure market competitiveness and internal equity across roles and levels.
