Job summary

Jones Lang LaSalle (JLL) in the United States is seeking a Facilities Systems Coordinator to serve as the primary administrator for CMMS and related facilities management platforms. Responsibilities

  • Administer the CMMS platform, including user management, security profiles, property configurations, asset records, and maintenance scheduling.
  • Provide training and ongoing support to account teams, vendors, and client staff on system functionality.
  • Configure system settings such as accounting codes, business hours, property contacts, notification messages, and service provider workflows.
  • Develop and deploy inspection forms supporting building engineering teams and data synchronization with service request management.
  • Produce monthly, quarterly, annual and ad-hoc reports on work orders, maintenance, compliance, labor metrics, projects, incidents, and training outcomes.
  • Explore new business needs within existing system capabilities and deploy solutions across the account.
  • Maintain system and process documentation; act as single point of contact for systems questions and support.

What this job involves

The Facilities Systems Coordinator serves as the primary administrator for critical facilities management technology platforms, including our Computerized Maintenance Management System (CMMS), facility service request systems, and compliance reporting tools. This role ensures system integrity, supports users across the account team, and delivers essential reporting that drives operational excellence. You'll be the go-to expert who bridges technology and facilities operations, enabling teams to work efficiently while maintaining data accuracy and system functionality that meets both internal and client objectives.

  • Administering the CMMS platform, including user management, security profiles, property configurations, asset records, and maintenance scheduling to ensure system integrity and optimal performance
  • Providing training and ongoing support to account teams, vendors, and client staff on system functionality, covering everything from new user onboarding to advanced features and password resets
  • Configuring system settings such as accounting codes, business hours, property contacts, notification messages, print formats, and service provider dispatching workflows
  • Developing and deploying inspection forms that support building engineering teams and coordinating data synchronization with facility service request system management teams
  • Producing monthly, quarterly, annual, and ad-hoc reports covering work order activity, scheduled maintenance, service level compliance, labor metrics, projects, incidents, and training outcomes
  • Exploring solutions to new business needs within existing system capabilities, then configuring, documenting, and deploying those solutions across the account
  • Maintaining comprehensive system and process documentation, serving as the single point of contact for all systems-related questions, support issues, and requirements
Physical Demands and Work Environment:
  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to communicate effectively via phone, video conference, and in-person meetings
  • Occasional travel to client sites may be required
  • Standard office environment with potential for remote/hybrid work arrangements
  • May require occasional lifting or moving of equipment up to 25 pounds
  • Ability to work flexible hours during system implementations, upgrades, or critical support situations
Required Qualifications:
  • Above-average aptitude for technology and systems administration with proven ability to learn and master complex software platforms
  • Highly proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) with advanced Excel skills for reporting and data manipulation
  • Strong written and verbal communication skills with the ability to translate technical concepts for non-technical audiences
  • Superior customer service orientation with demonstrated ability to maintain professionalism under stressful situations and tight deadlines
  • Proven ability to multitask, prioritize competing demands, and work independently without direct supervision
  • Strong organizational skills with meticulous attention to detail and data accuracy
  • Demonstrated collaborative working style with ability to support diverse teams and stakeholders
Preferred Qualifications:
  • Bachelor’s degree in Business Administration, Information Systems, Facilities Management, or related field
  • Experience with facility or building operations, maintenance workflows, or property management
  • Prior experience administering a Computerized Maintenance Management System (CMMS) such as 360Facility, Corrigo, Maximo, or similar platforms
  • Familiarity with facility service request systems and integrated facilities management technology ecosystems
  • Experience creating reports, dashboards, or analytics from operational systems
  • Understanding of preventive maintenance scheduling, asset lifecycle management, or work order management processes
  • Project management experience or exposure to system implementation and user change management

Estimated compensation for this position: 70,480.00 – 88,100.00 USD per year
