They are seeking a polished and organized receptionist to serve as the first point of contact for their clients and visitors. You will be responsible for creating a welcoming and professional front office environment. This role requires a high level of collaboration, attention to detail, and the ability to manage multiple tasks in a fast-paced, confidential setting.

Responsibilities

  • Serve visitors by greeting, welcoming, and directing them appropriately.
  • Answer, screen, and forward incoming phone calls.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  • Provide accurate information in person and via phone, and via email.
  • Receive, sort, and distribute daily mail and deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Order office and kitchen supplies and keep inventory of stock.
  • Maintain the conference center calendar.
  • Keep updated records of office expenses and costs.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Support the event team with ad hoc requests.
  • Create and maintain documents in PowerPoint, Excel, and Word.

Ideal Experience

  • Bachelor’s Degree preferred.
  • Strong organizational, communication, time management, and multitasking skills.
  • Ability to build positive relationships with vendors, team members, attendees, and stakeholders.
  • Proficiency in Microsoft Office Suite.
  • Professional attitude and appearance.
  • Ability to be resourceful and proactive when issues arise.
  • Customer service attitude.
  • Ability to lift and carry up to 50 pounds.
