Job summary

A leading community development organization based in Boston is seeking a Leasing Specialist to implement advertisement platforms and enhance resident satisfaction initiatives. The role involves a strong emphasis on customer service and meeting occupancy goals. Responsibilities include assisting with sales processes across multiple properties and training community staff. The ideal candidate has 3+ years of property management experience and specific knowledge of leasing low-income units. A Bachelor’s degree is preferred, along with strong communication skills.

Job description

Position Description

Under the direction of the Director of Leasing and Marketing, the Leasing Specialist will be based in Boston and will be responsible for implementing day-to-day advertisement platforms for new and operational communities to maintain and further customer service and resident satisfaction initiatives. The role is primarily a sales position with a strong emphasis on customer satisfaction, meeting goals, and achieving results. As a leasing specialist, you will be responsible for the sales process from start to finish at multiple communities. Your assistance will be required at multiple properties by minimizing vacancies, maximizing occupancy, maximizing tenant retention, training new leasing specialists, creating, or assisting with the annual marketing plan, implementing it, and adjusting as needed.

Essential Functions
  • Provide support for community staff by greeting, pre-qualifying, building rapport, following up, and closing the lease with prospects for phone, email, and site visitor traffic.
  • Work closely with onsite team members to ensure media channels are producing the desired results for our communities.
  • Identify occupancy trends to assist the Portfolio Operations Managers in improving leasing and retention to meet TCB occupancy goals.
  • Understand and implement the site’s leasing criteria to pre-qualify and process applicants.
  • Track affirmative fair housing marketing plans and ensure communities are within compliance.
  • Assemble new market research including market surveys and neighborhood analysis for new business.
  • Ensure that rental applications are processed in a timely manner and work with relevant staff to ensure that the verification process is completed in a timely manner.
  • Maintain accurate, up-to-date waiting and transfer lists (if applicable), including purging by TCB policy.
  • Responsible for completing the lease package for each rental, including renewals as applicable, renewal notices, and questionnaires.
  • Manage and enhance community lead generation through audits/enhancements of internet listing advertisements.
  • Maintain prospect, applicant, and resident data, utilizing TCB standardized forms from guest cards to lease files and entering data from these forms into site logs as required.
  • Assist with training community staff on TCB leasing and marketing standards.
  • Troubleshoot Rent Café issues as they arise.
  • Prepare reports related to occupancy and leasing/traffic analytics.
  • Assist with the coordination, preparation, and logistics for companywide and property management leasing training.
  • Travel required (may be asked to travel anywhere from 1 week at a time to a potential of a few months to properties in lease-up or need assistance).
  • Collect application fees and deposits as applicable.
  • Set up leasing offices and assist with lease-ups of new developments.
  • Ability to maintain professional conduct in all situations, thus promoting a high level of customer service to all prospective/future/current residents, vendors, community partners, fellow employees, etc.
  • Other duties that arise may be assigned.
  • May be requested to complete special projects as assigned.
Knowledge, Skills, and Abilities
  • Experience with Rent Café Site Manager is preferred.
  • Experience with Yardi Voyager is preferred.
  • Strong verbal and excellent written communication skills are required.
  • Strong understanding of new technologies and how they can be applied to marketing for the purpose of optimizing the exposure of our communities.
  • Problem-solving skills and attention to detail.
  • Knowledge and experience with online advertisement (Apartments.com, Zillow) preferred.
  • Prior knowledge and experience in affordable housing are a plus.
  • Incredible customer service skills and the ability to create a customer-focused culture.
  • Strong computer skills, and knowledge of Microsoft Office and industry-standard programs.
  • Capable of working with minimal supervision and performing effectively under tight time deadlines.
  • Knowledge of Federal Fair Housing Laws & Guidelines
Physical Demands & Work Environment

While performing this job's duties, the employee is routinely required to sit; walk; talk and hear; use hands to keyboard, finger, handle and feel; stoop, kneel, crouch, twist, crawl, reach, and stretch. The employee is required to move around the building or site. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The employee may occasionally lift and/or move up to 20 pounds. Must work under deadlines and ability to meet deadlines. Must have the ability to travel as business may need (up to 50%) and when not traveling, a hybrid schedule with the ability to travel to the office 3 days a week is required.

Education & Experience
  • Bachelor of Arts or Science degree preferred
  • 3+ years’ experience in Property Management and/or leasing experience required with at least 1 year of experience leasing low income units.
