Job summary

vineyard vines is seeking a Coordinator, Special Events in Stamford, CT to support end-to-end event execution across retail openings, launches, influencer events, and brand activations. You will assist with onsite setup, guest management, vendor coordination, and post-event wrap-ups, while collaborating with Marketing, PR, Retail, Ecommerce, and Wholesale teams.

The role requires 1–3 years in events or related fields, strong organization, communication, and multitasking skills, and a willingness

Qualifications

  • 1–3 years of experience in events, marketing, hospitality, public relations, or a related field (internships included).
  • Strong organizational and multitasking skills.
  • Exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office and project management tools.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Willingness to travel and work evenings and weekends as needed.

Responsibilities

  • Assist with onsite event setup, registration, hospitality, guest management, and breakdown.
  • Coordinate venue communications, shipping/receiving, catering, transportation, and hotel accommodations.
  • Manage purchase orders, invoices, contracts, expense tracking, and event documentation.
  • Maintain vendor databases, contact lists, event calendars, and production files.
  • Prepare meeting agendas and distribute event recaps.
  • Support guest list management, invitations, RSVP tracking, seating assignments, credentialing, and check-in.
  • Partner with Marketing, Creative, PR, Retail, Ecommerce, Wholesale, and other teams to coordinate assets and deadlines.
  • Compile attendance reports, vendor feedback, event photography, social content, and post-event summaries.
  • Track project timelines and assist with reporting on event performance.

Event Reporting
  • Compile attendance reports, vendor feedback, event photography, social content, and post-event summaries.
  • Track project timelines and assist with reporting on event performance.
What You Bring
  • 1–3 years of experience in events, marketing, hospitality, public relations, or a related field (internships included)
