Clarinda Regional Health is looking for a Coordinator to work in our Sports Medicine and Rehabilitation Building. Operating hours are M-F 6:15 am- 5:30 pm. Schedule may vary.

Position Summary

The Coordinator of Rehabilitation Services serves as the administrative cornerstone of the Rehabilitation Department by supporting Physical Therapy, Occupational Therapy, Speech Therapy, Cardiac Rehabilitation, Pulmonary Rehabilitation, and related services.

This position plays a critical role in advancing patient access, supporting efficient clinical operations, optimizing reimbursement, improving patient satisfaction, and helping patients receive exceptional rehabilitation services from referral through discharge.

QUALIFICATIONS:
Education and/or Experience

High School Diploma or GED required .

Insurance Verification & Patient Financial Counseling

Verify insurance eligibility, benefits, authorization requirements, visit limitations, deductibles, copayments, and coinsurance prior to initiation of services.

Educate patients regarding therapy insurance benefits, expected financial responsibility , authorization limitations, and payment options.

Communicate insurance-related concerns with patients in a professional, compassionate, and confidential manner.

Collect copayments and other patient payments in accordance with CRHC policies.

Maintain accurate documentation of insurance benefit information within the electronic medical record.

Prior Authorization Management

Obtain initial prior authorizations for rehabilitation services from commercial, Medicare Advantage, Medicaid Managed Care, Workers' Compensation, and other third-party payers.

Monitor authorized visit utilization and initiate requests for additional visits when medically necessary.

Coordinate with therapists to obtain required clinical documentation supporting authorization requests.

Track authorization expiration dates and approved visit counts to minimize preventable claim denials.

Communicate authorization status with therapists, providers, patients, and insurance companies.

Referral & Order Management

Receive, review, and process physician referrals and therapy orders for completeness and accuracy.

Obtain updated physician orders, certifications, and signatures as required .

Maintain compliance with payer and regulatory documentation requirements.

Coordinate communication with referring providers regarding missing or incomplete documentation.

Administrative Office Operations

Answer incoming telephone calls professionally and direct inquiries appropriately.

Greet patients and visitors while providing exceptional customer service.

Manage incoming and outgoing faxes, scanning, indexing, and electronic document management.

Maintain department email communications and administrative correspondence.

Prepare, organize, and maintain patient records and department documentation.

Assist with departmental filing, supply ordering, and inventory management.

Monitor work queues within the electronic medical record to ensure timely completion of administrative tasks.

Communication & Coordination

Serve as the primary administrative liaison between patients, rehabilitation staff, providers, insurance companies, and other hospital departments.

Communicate scheduling changes and operational updates to rehabilitation staff.

Assist therapists with administrative tasks that support efficient patient care delivery.

Escalate insurance, scheduling, or operational concerns to department leadership when appropriate .

Revenue Cycle Support

Assist in reducing preventable authorization and registration-related claim denials through accurate insurance verification and documentation.

Ensure demographic, insurance, and payer information remains current.

Support departmental productivity through efficient patient scheduling and management of cancellations.

Collaborate with Patient Financial Services regarding billing concerns when appropriate .

Compliance & Confidentiality

Maintain compliance with HIPAA, Medicare, Medicaid, payer requirements, and CRHC policies.

Protect patient confidentiality in all communications and documentation.

Demonstrate professionalism and ethical conduct in all interactions.

Quality Program Participation

Actively participates in CRHC’s Quality Program, committees, performance improvement initiatives, and operational support activities.

Demonstrates a commitment to Quality Improvement (QI) practices.

Regularly attends Department huddles.

Completes tasks as outlined on the Department Huddle Board.
