Job summary

Powerback seeks an organized Rehab Office Coordinator to support our therapy teams across physical, occupational, speech, and respiratory services. You will help ensure licenses are current, assist with scheduling, and maintain departmental supplies and records.

Ideal candidates will have a high school diploma (Nursing Assistant cert preferred) and strong communication skills. This on-site role offers growth through mentorship, CEUs, and a supportive team environment.

Qualifications

  • High school diploma or equivalent is required.
  • Certification as a Nursing Assistant is preferred if state requires.
  • Strong organizational and communication skills are essential.
  • Ability to coordinate scheduling, documentation, and billing tasks effectively.

Responsibilities

  • Ensure all therapist and assistant licenses are current and posted.
  • Assist therapy staff in removing barriers to treatment and provide clinical education.
  • Perform department maintenance including cleaning, equipment checks, and stock management.
  • Ensure staff are current for mandatory trainings and annual reviews.
  • Track and verify rehab staff PPDs, physician orders, and signatures.
  • Monitor QIR changes and report to Rehab Director.
  • Orient new staff to center and department.
  • Coordinate scheduling of per diem/casual staff.
  • Monitor productivity and efficiency; submit billing as directed.
  • Coordinate patient scheduling with nursing as needed.
  • Support clinical and non-clinical patient-related services within regulatory guidelines.

Responsibilities
  1. Ensures all therapist and assistant licenses are current and posted.
  2. Assists therapy staff in identifying and removing barriers to treatment and providing clinical education to meet the needs of the patient.
  3. Completes all department maintenance including cleaning of all mats and equipment, monitoring temperature of hydrocollator units, ensuring any mechanical checks or calibrations are completed according to schedule, emptying laundry, stocking supplies and clean laundry, ordering supplies under the direction of the Director of Rehab.
  4. Ensures therapists are current for all mandatory and/or required in-services.
  5. Tracks and ensures all rehab staff are current for PPDs.
  6. Tracks physician orders and signatures.
  7. Tracks annual screens and notifies therapists.Review QIR monthly for changes and report to Director of Rehab.
  8. Completes technical audits of charts ensuring all documentation is present. Mails and tracks return of initial evaluations and certifications.
  9. Under the direction of the Director of Rehab orients all new staff to the center and department.
  10. Tracks due date of all merit reviews, distributes and collects feedback for performance reviews as directed by the Director of Rehab.
  11. Coordinates scheduling of all per diem/casual staff under the direction of the Director of Rehab.
  12. Tracks productivity and efficiency.
  13. Submits billing.
  14. Under the direction of therapists coordinates patient scheduling with nursing.
  15. Responsibilities may include providing "Client related" and "Non-Client related" services to patients as directed by Therapists and Assistants within the parameters of:
  16. 1. State practice laws;
  17. 2. Local, state, and federal laws and regulations;
  18. 3. Reimbursement rules and payor policies;
  19. 4. Professional standards of practice and codes of ethics.
  20. Performs other related duties as required.
Qualifications
  1. The Rehab Office Coordinator must possess a minimum of high school diploma or equivalent.
  2. Certification as a Nursing Assistant is also preferred (unless required by state).

USD $16.00 - USD $18.65 /Hr.
