Job summary

Suffolk Construction is seeking a People & Culture Operations administrative professional in Boston, MA. The role supports employee onboarding and offboarding, manages document workflows, and coordinates national P&C programs within a collaborative office setting.

Office-based with four days in the office and one remote day; onsite parking, fitness center access, and an on-site cafeteria enhance daily work life. Strong Microsoft Office and HRIS familiarity are needed.

Qualifications

  • Bachelor's degree in Business Management or related field.
  • 2-5 years of administrative or office management experience, preferably in a shared services center or call center/customer service.
  • Proficiency with Microsoft Office products (Excel, Word, Outlook, OneDrive).
  • Ability to maintain a high level of confidentiality.

Responsibilities

  • Maintain excellent customer-service standards by responding to internal and external department clients' requests and inquiries.
  • Ensure timely completion of onboarding and offboarding tasks (headshots, I-9 ID collection, PPE and uniform orders, gas card orders).
  • Oversee national P&C programs (Service Awards, New Baby Bundles, and Compliance postings).
  • Process P&C invoices and expenses with corporate and project accounting teams.
  • Monitor SSN reports weekly to reconcile HRIS differences.

Overview

The People & Culture (P&C) Operations group is the center of excellence responsible for the overall employee experience as relates to Human Resources, Community & Employee Engagement, Learning & Development and Talent Management.

This role is based in our office 4 days per week, with the option to work remotely 1 day, and offers access to free on-site parking, a state-of-the-art fitness center, an on-site cafeteria, and a collaborative, engaging workplace culture.

Responsibilities
  • Maintain excellent customer-service standards by responding to internal and external department clients' requests and inquiries, escalating items to People Operations Team as appropriate
  • Responsible for ensuring the timely completion of tasks related to employee on-boarding and offboarding (employee headshots, I-9 ID collection, ppe and uniform orders, gas card orders)
  • Oversight of national P&C programs (Service Awards, New Baby Bundles, and Compliance postings)
  • Ensure timely processing and accuracy of P&C Department related invoices and expenses, working closely with corporate and project accounting
  • Monitor SSN report weekly to reconcile differences in HRIS system
  • Maintain employee documents in Markview
  • May assist with special People & Culture related projects
  • Reconcile and communicates for PTO audits
  • Maintain P&C Operations Inbox
  • Coordinate PPE rentals
Qualifications & Necessary Attributes
  • Bachelor's degree in Business Management or related field
  • 2-5 years of administrative or office management experience (shared services center or other call center/customer service experience is desired)
  • Willingness to provide best in class customer service
  • Proficiency with Microsoft Office products (Excel, Word, Outlook, OneDrive)
  • Comfort level with HRIS systems, Oracle experience a plus
  • Be able to maintain a high level of confidentiality
  • Collaborative, service-oriented and results-driven
  • Highly organized; able to prioritize and multi-task
  • Excellent oral and written communication and interpersonal skills
  • Resourceful with strong problem solving and troubleshooting skills. Sound business judgement.

Working Conditions

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing.
