Our Power Delivery Group is dedicated to building and maintaining critical electrical infrastructure across the nation, ensuring reliable power for communities and industries. We are seeking a highly organized and detail-oriented Bids Coordinator to join our dynamic team.

The Bids Coordinator will be instrumental in organizing, coordinating, and supporting the timely and accurate submission of competitive bids, tenders, and qualifications packages for the Power Delivery Group. This role involves meticulous management of the bid process, ensuring all technical, commercial, and administrative requirements are met. A crucial aspect of this position will be the precise management and upkeep of customer relationship management (CRM) data to bolster our business development and tracking efforts.

The Position Proposition:

  • CRM Data Management: Consistently update and maintain precise and comprehensive data within the company's CRM system. This includes tracking bid opportunities, opportunity statuses, client communications, contact information, and competitor insights to support strategic planning and reporting.
  • Bid Management & Coordination: Support the end-to-end bid process, including initial tender review (Go/No Go), internal kick-off meetings, developing bid schedules, coordinating content gathering, and ensuring timely final submission of comprehensive bid packages.
  • Bid Library Maintenance: Support the ongoing development, organization, and maintenance of a comprehensive library of reusable bid content, including standard forms, certifications, company capabilities, and project references, ensuring all materials are current and readily available.
  • Commercial & Technical Coordination: Facilitate the collection and integration of pricing, commercial terms, technical specifications, and project execution details from various internal departments (Estimating, Operations, Engineering, Legal) to form a cohesive and compliant bid.
  • RFP/RFQ/ITB Compliance: Thoroughly review Requests for Proposals (RFPs), Requests for Quotations (RFQs), Invitations to Bid (ITBs), and other tender documents to identify and ensure strict adherence to all client requirements, terms, and conditions.
  • Document Preparation & Formatting: Compile, format, and prepare all necessary bid documents, including forms, schedules, technical write-ups, and administrative sections, ensuring a professional presentation consistent with company branding and client specifications.
  • Content Support & Review: Assist in writing and editing bid content, focusing on accuracy, completeness, and alignment with the specific requirements of each tender. Proofread all documents for grammar, spelling, and consistency.
  • Deadline Management: Proactively support multiple concurrent bids, prioritizing tasks effectively to meet tight deadlines in a demanding, fast-paced environment.
  • Quality Assurance: Support rigorous quality control checks on all bid deliverables to verify accuracy, completeness, compliance, and an error-free final submission.
  • Qualifications
  • Education: Bachelor's degree in Business Administration, Marketing, Communications, or a related field is preferred.
  • Experience:
    • Minimum of 2-5 years of experience in bids coordination, proposal management, or a similar role, preferably within the architecture, engineering, construction (AEC), or power delivery/utility sectors.
    • Demonstrated experience with CRM systems (e.g., Unanet, Salesforce, HubSpot, Microsoft Dynamics, ) for data entry, tracking, and reporting.
  • Skills:
    • Exceptional organizational and project management skills, with a proven ability to manage complex tasks and multiple deadlines under pressure.
    • Strong written and verbal communication skills, with an emphasis on clarity, accuracy, and detail in commercial and technical documentation.


  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) as well as Design/layout software experience (e.g., Adobe Creative Cloud/Adobe InDesign).
  • A keen eye for detail and a strong commitment to quality assurance.
  • Ability to work both independently and collaboratively as a critical member of a cross-functional team.
  • Understanding of the bidding process in a contracting or services environment is highly desirable.
