Job summary

St. Elizabeth Healthcare is seeking a dedicated professional to manage the GME software application, housing student, resident, shadow, and visitor data.

You will oversee placement of all clinical rotations within the system and support expanding rotations across the organization. You will interact with learners, education programs, and medical staff, ensuring compliance with accreditation standards and delivering reliable data and training resources.

Qualifications

  • Bachelor’s degree in business or clinical field.
  • Understanding of accreditation standards such as ACGME, Joint Commission and CMS related to medical students, APP Students, residents, and Medical Staff education.
  • Excellent verbal, written and interpersonal communication skills.
  • Excellent computer skills, including Microsoft Office products (Word, Excel, Outlook, PowerPoint) and the ability to work with a database.

Responsibilities

  • Plan, coordinate and implement security measures to safeguard information in computer files (application) against accidental or unauthorized damage, modification or disclosure.

Job Summary:

HYBRID-2 DAYS REMOTE/WEEK.
Management of the GME software application to house all student, resident, shadow and authorized visitor sensitive and non-sensitive information. Responsible for placement of all clinical rotations within the healthcare system. Support St. Elizabeth Healthcare’s goal of increasing clinical rotations across the system and becoming a top community teaching facility.

Job Description:

Database Responsibilities

Plan, coordinate and implement security measures to safeguard information in computer files (application) against accidental or unauthorized damage, modification or disclosure. Assess GME application needs; improve application functionality; assure that data are secure and easily accessible; coordinate changes to application and continue to update knowledge of tools used to organize and store data.

  • Oversee use, selection, and acquisition of software/modules.
  • Correct errors and make necessary modifications.
  • Train users and answer questions.
  • Specify users and user access levels for each segment of database.
  • Integrate different products so they work properly together, such as tailoring application to fit specific needs.
  • Identify and evaluate product trends to serve as a source of information and advice for upper management as it relates to the purchase of additional programs and services.
  • Build reports and queries for Administration, management personnel, and others, tailored for their specific needs. Generate reports to internal and external customers monthly.
  • System administrator for student information management database, ensuring accurate data entry and reporting.
  • Enter data into Medical Affairs database as needed.

Student/Resident Placement Coordination

  • Serves as a point of contact for student placement for educational institutions across the Healthcare system.
  • Serves as point of contact for educational affiliation agreements and maintains up-to-date roster of affiliation agreements with schools / programs.
  • Ensures clinical rotations are entered into GME software to provide visibility into preceptor availability.
  • Compiles monthly statistics on the number and type of student rotations.
  • Maintains department information on the website and intranet.

Medical Staff Education

  • Support medical education program growth (APP Fellowship, additional residencies).
  • Support CME Program as needed (Grand Rounds, RSS, special programs).
  • Support Medical Library resources; assist physicians and APPs with literature searches and article retrieval as needed.
  • Information source for Medical Staff members and Advanced Practice Providers on hospital / Medical Staff policies, governing documents, and regulatory requirements related to clinical education rotations.

Customer Service

  • Positively communicate policies and procedures regarding clinical rotations with learning institutions and students.
  • Greets visitors to the department, using good customer service skills, to ensure a positive impression of the department and health system.
  • Process SARS requests for community physician offices (EMR access).
  • Collaborate with different departments, administration and clinical leaders to ensure clinical student rotations are approved.

Performs other duties and special projects as requested and assigned.

Education, Credentials, Licenses:

Bachelor’s degree in business or clinical field

Specialized Knowledge:

Understanding of, or ability to quickly grasp accreditation standards such as ACGME, Joint Commission and CMS related to medical students, APP Students, residents, and Medical Staff education (CME). Excellent verbal, written and interpersonal communication skills.

Excellent computer skills, including Microsoft Office Products (Word, Excel, Outlook, PowerPoint) and the ability to work with a database.

Ability to multi-task and set priorities. Excellent customer service skills. Strong attention to detail.

Kind and Length of Experience:

Two years’ customer service experience and prior experience working with software database applications.
