Job summary

NBCUniversal is seeking a Coordinator, Publicity to manage department billing, invoicing, budget tracking, vendor coordination, and operational tasks across film publicity campaigns.

You will collaborate with publicity teams and cross‑functional partners to ensure timely financial and administrative activities while supporting events and special projects. The role is hybrid, with four office days per week and competitive benefits.

Qualifications

  • Minimum 1 year of experience in entertainment, media, marketing, publicity, finance, operations, or a related field.
  • Experience with financial systems, PO platforms, or vendor management is a plus.
  • Excellent written and verbal communication skills and ability to handle confidential information.

Responsibilities

  • Process and track invoices, purchase orders, vendor payments, expense reports, and budget reconciliations across multiple campaigns.
  • Partner with Finance and external vendors to ensure timely payment processing and accurate financial records.
  • Create purchase orders, onboard vendors, maintain vendor documentation, and resolve billing discrepancies as needed.
  • Manage departmental budget trackers and reporting documents, ensuring spending is accurately recorded and communicated to publicity leadership.
  • Assist with preparing presentations, recaps, and other departmental materials.
  • Support publicity events including premieres, screenings, junkets, press days, festivals, and special projects as needed.
  • Provide project support for department initiatives, events, and special projects as assigned.

Job Description

The Coordinator, Publicity will support the Global Publicity team by managing department billing, invoicing, budget tracking, vendor coordination, and operational processes across film publicity campaigns. This role serves as a key partner to publicists and cross-functional teams, ensuring timely processing of financial and administrative activities while supporting special projects, events, and team initiatives as needed.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced entertainment marketing environment.

  • Process and track invoices, purchase orders, vendor payments, expense reports, and budget reconciliations across multiple film campaigns and projects
  • Partner with Finance and external vendors to ensure timely payment processing and accurate financial records
  • Create purchase orders, onboard new vendors, maintain vendor documentation,and resolve billing discrepancies as needed
  • Manage departmental budget trackers and reporting documents, ensuring spending is accurately recorded and communicated to publicity leadership

Qualifications

Basic Qualifications

  • Minimum 1 year of experience in entertainment, media, marketing, publicity, finance, operations, or a related field
  • Strong proficiency in Microsoft Office, particularly Excel, Outlook
  • Willingness to work occasional evenings and weekends in support of publicity events and special projects

Desired Characteristics

  • Experience working with financial systems, purchase order platforms, or vendor management tools is a plus
  • Experience processing invoices, managing budgets and expense reports preferred
  • Exceptional attention to detail and organizational skills
  • Comfortable handling confidential and sensitive information
  • Ability to manage multiple priorities while meeting deadlines
  • Proactive problem solver with strong follow-through
  • Excellent written and verbal communication skills
  • Ability to anticipate needs and identify process improvements.
  • Interest in film marketing, publicity, and entertainment

Additional Requirements

  • Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
