Description
Position Summary
This position is responsible for sales coordination of new and/or used equipment and the associated administrative activities. This includes ensuring all documentation is accurate and completed for all sales agreements, coordinating the Shop Get Ready process and maintaining information regarding inventory availability.
Position Duties/Responsibilities
- Facilitate and coordinate sales process between customer, sales representative, factory, and MacAllister Machinery
- Ensure all appropriate invoices and any associated paperwork is completed for various locations efficiently and accurately
- Monitor and maintain information regarding order status, inventory accuracy, and stock availability for all relative parts and equipment at various locations
- Evaluate and process all new and used equipment into inventory, while documenting any damage or necessary repairs
- Coordinate logistics of all new and/or used equipment as it relates to the Shop Get Ready process
- Report sales data to appropriate manufacturers and register any applicable warranties with the appropriate manufacturers
- Ensure orders are allocated to the appropriate categories, customers and vendors
Occasional Responsibilities
- Track and ensure all money due to company from vendors is collected
- Prepare documents for audits
- Code vendor invoices to provide to accounting
- Assist with training new employees on certain product lines, processes and requirements
- Placing equipment orders
Supervisory Responsibilities
- No formal responsibility for supervising others
Position Requirements
Required
- High School Diploma or GED
- 2 year or more of experience performing administrative tasks in sales or office environment
Preferred
- Associates Degree or Bachelor’s Degree with a business related concentration
- 4 years or more of experience performing administrative tasks in sales or office environment

- Proficient computer and data entry skills with Microsoft Office (Outlook, Word, Excel, and PowerPoint), and the ability to learn MacAllister/Michigan Cat systems
- Ability to build and maintain effective customer and professional relationships through strong interpersonal skills with emphasis on relationship-building and consistent demonstration of solid professional judgment
- Ability to work in a fast-paced environment
- Excellent communication skills, including verbal, written and listening skills
Other Requirements of Position
- Works under general supervision. Employee acts independently to handle standard problems but usually report on such problems. More unusual problems are referred to a supervisor/manager
- Major responsibilities typically require a modest amount of creativity and latitude. Employee typically operates under general instructions with some established procedures and policies
- Frequently communicates with management, coworkers, and vendors
- Maintains equipment and supplies to avoid waste, damage to areas and equipment, and to prevent accidents
