Job summary

Skadden, Arps, Slate, Meagher & Flom LLP in New York is seeking a Coordinator, Client Programs & Events to support planning, coordination and execution of client-facing events, including CLE seminars, webinars, receptions and dinners. The role integrates NY-based programming with the national client events team.

You will collaborate with Business Development, practice groups, and partners to align logistics with goals, manage registrations, on-site setup, post-event reporting, and CRM updates

Qualifications

  • Bachelor's degree required.
  • Minimum of three years of related experience in a professional services environment.
  • Knowledge of CRM and dynamic databases.
  • Proficiency in Outlook, Excel, and PowerPoint.
  • Strong interpersonal and written communication skills.
  • Ability to handle multiple projects and shifting priorities.
  • Ability to handle sensitive information and maintain confidentiality.

Responsibilities

  • Coordinate client dinners, receptions, and in-house CLE presentations.
  • Manage event registration, RSVPs, and inquiries.
  • Assist on-site event setup, nametags, surveys, and materials.
  • Reconcile post-event attendance and update CRM records.
  • Research venues, restaurants, vendors, and budgets.
  • Assist with restaurant contracts and vendor terms.
  • Support adherence to CLE accreditation standards and firm branding.

This position will be based in our New York office (hybrid). This role supports the planning, coordination, and execution of client-facing events that advance the Firm's business development and marketing objectives, including CLE seminars and webinars, receptions, dinners, and other client engagement functions. The Coordinator primarily supports New York-based programming while also contributing to events across regional offices as part of the Firm's national client events team. This role works closely with the Business Development team, practice groups, partners, and other functional teams to help ensure the seamless delivery of events of all sizes.Assists in the planning, coordination, and execution of client-facing events, including CLE programs, seminars, webinars and other client engagement functions.Coordinates client dinners, reception and in-house CLE presentations with limited supervision.Works as a collaborative member of the Client Programs & Events Team, supporting various team members as needed in both New York and regional offices.Collaborates with Business Development teams and partners to help align event logistics with practice-specific and Firmwide goals.Coordinates event registration for in-person and virtual programs, provides regular RSVP updates, and serves as a point of contact for registration inquiries.Supports on-site event setup, including preparing nametags, program evaluation surveys, printed and digital materials, and staffing events on-site.Reconciles post-event attendance for in-person and virtual events, including updating CRM records, reporting on attendance, and compiling and distributing attendee feedback.Researches restaurants, venues and vendors for dinners and receptions, and presents options that align with firm standards.Develops cost estimates for dinners and receptions, and monitors budgets throughout the planning and execution process.Assists with the review and coordination of restaurant agreements for private dinners and receptions; develops a working understanding of general business terms and Firm contracting standards.Researches promotional items and client gifts, including working with vendors, building estimates, maintaining inventory, and coordinating ad-hoc mailings.Contributes to event tracking and assists with aggregating data for reporting purposes.Supports the adoption and use of new event-related processes, technology, and resources as the team evolves; collaborates closely with the Event Operations team.Supports compliance with CLE accreditation standards across relevant jurisdictions and develops familiarity with state bar requirements.Supports adherence to event standards that reflect the Firm's brand and client service values.Demonstrates strong interpersonal, written, and verbal communication skills to facilitate productive work relationships across teams and levels, including Firm partners and senior-level clients.Ability to synthesize information from multiple sources into clear, effective communications.Manages Firm resources responsibly and complies with Firm operations, policies, and procedures.Performs other related duties as assigned to support the Firm's business development and marketing initiatives.QualificationsKnowledge of CRM and dynamic databases.Proficiency in relevant Firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems.Demonstrates strong interpersonal and communication skills, both verbally and in writing.Demonstrates close attention to detail.Ability to handle multiple projects and shifting priorities in a demanding, fast-paced environment.Ability to handle sensitive matters and maintain confidentiality.Ability to organize and prioritize work effectively.Ability to work well independently as well as collaboratively within a team.Flexibility to adjust hours and work the hours necessary to meet operating and business needs.Education and ExperienceBachelor's degreeMinimum of three years of related experience in a professional services environmentCulture & Life at SkaddenWhat makes Skadden special is our people and the culture, community and spirit of collaboration we have created.
