Job summary

State of Indiana through the Indiana Housing and Community Development Authority (IHCDA) seeks a Coordinated Entry Support Analyst to advance the CE program and reduce homelessness across Indiana.

You will oversee CE system operations, provide technical assistance to regional partners, and ensure compliance with HUD regulations, MOUs, and HMIS, supporting a continuum-wide mission.

Responsibilities

  • Oversee Coordinated Entry System management across all regions of the Indiana Balance of State CoC.
  • Provide updates, guides, trainings, and technical assistance to partners to close gaps.
  • Host monthly CE leads calls and complete annual reviews of documents and reports.
  • Support CE efforts in targeted regions through CE process work and referrals.
  • Provide technical assistance and develop written CE resources; deliver trainings (virtual, recorded, in-person).
  • Respond to inquiries via the Homelessness@IHCDA inbox and assist with grant applications as needed.

Role Overview

The Coordinated Entry Support Analyst contributes to fulfilling the IHCDA mission and meeting strategic and annual IHCDA operational and program goals by overseeing and directly supporting the Indiana Balance of State CoC’s Coordinated Entry System, providing technical assistance and trainings to Regional partners, and ensuring local providers are compliant with HUD regulations and as defined by their MOUs with IHCDA.

Through these programs, IHCDA and its partners aim to reduce the number of people experiencing homelessness by connecting them to permanent housing and by ensuring that homelessness, when experienced, is rare, brief, and non-recurring.

Salary

A Day In The Life

The essential functions of this role are as follows:

  • Coordinated Entry System Management
    • Evaluate Performance of CE System throughout all regions of the IN BoS CoC each month
    • Provide updates, guides, trainings, and technical assistance to preempt or respond to any gaps identified
    • Host monthly call with all Regional CE Leads to provide key updates
    • Complete annual review of required documents, agreements, and performance reports
  • Coordinated Entry System Coordination
    • Support Coordinated Entry efforts in targeted region(s) by supplementing Regional Coordinated Entry Leads with direct CE process work which may include work such as:
      • Prioritization List Management
      • Completion of referrals
      • Providing Virtual Assessments
      • Documentation in Homeless Management Information System (HMIS)
      • Hosting and/or Attending CE Case Conferencing
  • Technical Assistance for Regional CE System
    • Provide technical assistance to CoC Network partners including Regional CE Leads, CE Access Sites, CE Referral Recipient agencies, and prospective partners.
    • Create written resources for the Coordinated Entry System
    • Host virtual and/or recorded trainings for CE Access Sites, CE Assessors, and Regional CE Leads
    • Host in-person trainings around the state for new CE Access Sites and CE Assessors on a regional basis
  • General
    • Assist in providing timely responses to messages in the Homelessness@IHCDA email inbox
    • Contribute to the Continuum of Care NOFO and other grant applications, as requested.
    • Present about the BOS CoC to partners across the state, as requested.
    • Provide meeting facilitation and produce high-quality note taking services for board and committee meetings as requested.
    • Create and update SOPs for your job duties.
    • Attend and participate in departmental meetings.
    • Seek professional development to stay current in the field.
    • Respond to requests for information from IHCDA Leadership, State Leadership and Federal Partners.
    • Perform related duties as assigned.

This position is exempt from overtime compensation for additional work hours which may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and/or paid leave taken to receive their base biweekly salary.

Supervisory Responsibilities/Direct Reports

This role may be utilized in a supervisory capacity based on agency needs.
