Job description

Overview

To discuss meeting room arrangements with planner and to communicate this information through respective hotel department heads via a convention/meeting resume.

Responsibilities
  • Prepare resumes for groups
  • Re-check function book to ensure proper space has been assigned
  • Provide hotel site inspections when necessary
  • Entertain clients to establish closer working relations when appropriate
  • Recommend special outside services when required
  • Conduct final tie-down meetings prior to conference when necessary
  • During conference, ensure the meeting arrangements meet specifications
  • On conclusion of conference, review final bill and evaluation with meeting planner
  • Ensure all meeting arrangements discussed meet specifications
  • After the conclusion of meeting, review final bill and comments with meeting planner
  • Coordinate all aspects of conferences as assigned by the Director of Convention Services
  • Proactively achieve consistently high Medallia scores through establishing a good rapport with the client, preparation work having been done accurately and being visible during the conference to ensure the client's expectations have been met
  • Serve as the onsite contact for clients during their events and meetings
  • Ensure banquet event orders are accurate and provide all relevant information to departments concerned ten days prior to event start time
  • Participate in all regular and operational meetings as required
  • Assist in and support food and beverage operations as necessary
  • Flexible work hours to include weekends, holidays and evenings based on business levels
Qualifications
  • College degree preferred
  • At least 4 years of progressive experience in a catering/sales hotel or related field
  • Knowledge of the operations of the hotel industry
  • Dynamic, enthusiastic, creative leader who thrives under pressure and is able to perform multiple functions and troubleshoot when needed
  • Command of the English language both written and verbal, with the ability to demonstrate warmth and empathy when engaging with others
  • Must have proven selling, negotiating and presentation skills
  • Requires knowledge of advanced sales techniques
  • Highly developed customer service skills with strong attention to detail
  • Proficient computer skills including but not limited to Microsoft Word, Power Point, Excel, and Outlook. Delphi experience preferred
  • The ability to delegate, effectively train and coach
  • Must be able to work a flexible schedule including nights, weekends and holidays
  • Proactively explore networking opportunities
  • Community leadership experience
