  • Proven ability to build or rebuild processes and maintain controls.

Responsibilities

We operate through three subsidiaries with a large field team across multiple states. That makes accounting here a client-facing compliance function, not just a back office. Payroll reserves, monthly reconciliations, and reimbursement reporting are contractual obligations, and accuracy is a client-trust issue as much as a financial one.

Position Summary

The Controller is the senior financial leader responsible for the accuracy, integrity, and timeliness of OPC's financial reporting across a multi-entity structure. This is a working controller role: you own accounting policy, the close, internal controls, and systems strategy, and you also run the recurring engine underneath them, including payroll processing, client reserves, reconciliations, and client-facing reporting. You will supervise and develop our AP/AR specialist, and you will partner directly with the CEO on entity-level profitability, pricing, and the financial infrastructure needed to support growth. The right candidate sets the standard for what correct looks like and does the work to get there.

Key Responsibilities
Payroll Processing
  • Process semi-monthly payroll cycles across multiple entities through our PEO platform
  • Review the payroll register against the employee change log and the prior period before funds release; this control is the single most important safeguard in the role
  • Track payroll reserve balances by client account against contractual minimums and flag any shortfall immediately
  • Confirm client funding ahead of each cycle and elevate when funding has not landed
  • Prepare the client payroll reconciliation reports our agreements require, ensuring passthrough wages and burden are billed per contract terms
Client Reporting & Billing
  • Administer per-community event funds: monthly advances, deposit replenishment, and annual true-ups
  • Deliver monthly event expense reconciliations with supporting documentation by the twentieth of each month, as our contracts specify
  • Apply cost-plus billing correctly across reimbursable expenses, and ensure client-billable costs (including mileage and pass-through expenses) are captured, coded, and invoiced in accordance with contract terms
  • Oversee client invoicing accuracy and collections
Financial Reporting & Close
  • Own the month-end and year-end close across all OPC entities, from working papers through final consolidated and entity-level financial statements
  • Perform journal entries, bank and credit card reconciliations, and account reconciliations across entities
  • Manage inter-company accounting, allocations, and eliminations across subsidiaries
  • Prepare and present monthly financial packages with commentary on entity-level performance, margins, and trends
  • Produce a weekly cash position and reserve status report for the CEO on a fixed schedule
Policy, Controls & Escalation
  • Establish and document accounting policies, including revenue recognition for management contracts, agency retainers, and consulting engagements
  • Design and enforce internal controls appropriate to a growing multi-entity business, including segregation of duties between employee data entry and payroll processing
  • Maintain written escalation triggers and use them: unfunded payroll, reserve shortfall, cash below threshold, and aged receivables
  • Document every recurring finance procedure at a level someone else could follow, starting with payroll
Insurance & Compliance
  • Own the company's insurance program: policy renewals, coverage adequacy as the business grows, and coordination with brokers across general liability, professional liability, workers' compensation, and auto
  • Track certificates of insurance (COIs) for clients, vendors, and venues, ensuring certificates are current and meet each client contract's insurance requirements
  • Own compliance with federal, state, and local requirements, including sales tax, business licensing, and 1099 reporting
Cash, Treasury & Banking
  • Manage cash flow forecasting, banking relationships, and credit facilities
  • Oversee AP and AR outcomes, with day-to-day execution by the AP/AR specialist
  • Optimize working capital and payment processes across entities
Systems & Process Improvement
  • Own the financial systems stack, including the general ledger platform, expense management, and payroll integrations
  • Lead the evaluation and implementation of accounting systems as the company scales, validating that procedures are encoded correctly rather than carried over as-is
  • Identify and fix broken processes, then document them so they stay fixed
  • Champion automation and AI-enabled tools where they improve speed and accuracy
Leadership & External Relationships
  • Supervise, train, and develop the AP/AR specialist against documented procedures, with the goal of independent execution and a written training plan
  • Manage the relationship with outside CPA and tax preparers; own the year-end tax package and support entity structuring decisions
  • Serve as the financial thought partner to the CEO on pricing, entity profitability, new service lines, and growth investments
  • Build the accounting function's roadmap: what the team, systems, and processes need to look like 12 to 24 months from now
Qualifications
Required
  • Bachelor's degree in Accounting or Finance
  • 8+ years of progressive accounting experience, including experience as a Controller, Assistant Controller, or Accounting Manager with full-cycle ownership
  • Multi-entity accounting experience, including intercompany transactions and consolidations
  • Payroll processing experience, ideally through a PEO or similar platform; experience with client-funded or passthrough payroll (staffing, property management, agency, or professional services) is a strong advantage
  • Deep fluency with QuickBooks Online and modern expense management platforms; experience evaluating or implementing mid-market accounting systems is a strong plus
  • Demonstrated track record of building or rebuilding processes, not just maintaining them
  • Evidence of operating independently: this role sets its own controls and runs without daily direction
  • Strong Excel and financial modeling skills
Preferred
  • Experience managing a company insurance program and client COI requirements
  • Experience supporting a founder-led or private, high-growth company
  • Familiarity with real estate development, homebuilding, or community management industries
  • Knowledge of Gravity accounting system
