Position Summary

The Controller is a strategic accounting leadership role responsible for the integrity of the Company’s financial reporting, the design and enforcement of internal controls, and the transformation of the Company’s accounting function. The Controller serves as the technical accounting authority for the organization, owning the financial close governance process, external audit and tax advisor relationships, and multi-state regulatory compliance framework. This individual will be expected to consistently role model W+F Core Values.

Essential Position Functions and Responsibilities
  • Coach, lead, inspire and manage the accounting team(s), fostering a culture of collaboration, safety, efficiency, customer service, and continuous improvement.
  • Own the governance, sequencing, and continuous improvement of the month-end, quarter-end, and year-end close process, targeting an efficient close process; maintain and publish the master close checklist with defined owners and escalation procedures. Perform post-close processes to validate financial integrity, identify and resolve root-cause issues, reduce close cycle time, improve data quality and enhance financial insights.
  • Own the preparation of accurate, periodic financial statements and management financial reporting packages including robust financial analysis, variance explanations, and actionable insights into key business drivers, trends, and operational performance, to support decision-making by the Senior Director of Finance and Senior Leadership Team of the Company.
  • Serve as the primary accounting lead for the NetSuite ERP implementation, partnering with Accounting, Finance, and IT functions to manage the chart of accounts, journal entry templates, subledger configurations, automated intercompany eliminations, and financial reporting structures. Manage the ongoing ERP maintenance for the accounting function.
  • Establish, document, and enforce a formal internal controls framework appropriate for a multi-hundred million revenue, multi-state petroleum distribution and retail business, including segregation of duties, approval authority matrices, and period-end documentation standards.
  • Manage the external audit relationship, including preparation of the annual audit package, PBC schedules, and S-Corp tax workpaper review; serve as the primary reviewer of the Form 1120-S information return prior to filing.
  • Review and approve all journal entries, account reconciliations, and period-end accruals prepared by the accounting team before financial statements are issued.
  • Oversee multi-state tax compliance strategy and filing calendar, coordinating with the Sr. Accountant/Fuel Tax Specialist and external advisors on Washington motor fuel tax, Washington petroleum products tax, Oregon fuel tax, Idaho fuel tax, federal LUST, IFTA, and state B&O/excise tax obligations.
  • Support the integration of a tax compliance platform within NetSuite, ensuring automated rate lookups and exception management replace current manual fuel tax calculation workflows.
  • Lead the configuration of NetSuite's Fixed Asset Management module and ASC 842 lease accounting module to replace existing manual workflows, in coordination with the Fixed Asset & Tax Specialist.
  • Maintain lender compliance reporting, including borrowing base calculations and debt covenant monitoring, as required by the company’s credit facility agreements.
  • Champion the implementation of EOS (Entrepreneurial Operating System) within the accounting function and support the professional development and growth of all direct reports.
  • Develop and maintain accounting policy documentation to ensure GAAP compliance and consistent application across all business segments, including cardlock, lubricants, convenience retail, and dealer operations.
  • Provide financial insights and technical accounting guidance to the Senior Director of Finance, including positions on complex transactions, lease accounting, and revenue recognition matters.
  • Responsible for hiring, onboarding, training, development, engagement, and corrective action, if necessary, of team.
  • Develop, implement, and manage financial indicators and relevant KPIs for the accounting team.
  • Recommend benchmarks that will be used to measure the Company’s performance.
  • Assist the Director of Accounting with the annual budget and forecasts; report significant budget differences to management.
  • Administer, track, and review capital expense allocations and uses to ensure accuracy, appropriate classification, and alignment with approved budgets.
  • Conduct monthly expense audits and clean-up, including reviewing recurring expenses to identify inefficiencies, unused services, or cost saving opportunities.
  • Serve as back up to the Director of Accounting, supporting continuity of operations and decision making as needed.
  • Review bank reconciliations to ensure accuracy and completeness of financial records.
  • Provide support for rolling forecasts, including data gathering, analysis, and ongoing financial projections.
  • Ensure compliance with local, state, and federal government requirements.
  • Other duties as assigned by Manager.
Critical Core Competencies and Skills
  • Deep technical GAAP expertise, including revenue recognition, fixed asset management, and lease accounting (ASC 842).
  • ERP implementation leadership with the ability to translate manual accounting processes into system-driven workflows.
  • Internal controls design and enforcement in a multi-site, multi-channel distribution environment.
  • Strong analytical, documentation, and process design skills.
  • Executive communication with the ability to present complex accounting matters clearly to non-accounting leadership.
  • Change leadership and ability to guide a team through significant operational transformation with trust and consistency.

Minimum Education and Experience
  • Bachelor’s degree in Finance Accounting or related field.
  • 7+ years of progressive experience in accounting, including at least 3 years in a Controller, Assistant Controller, or equivalent leadership role.
  • Hands‑on ERP implementation experience (NetSuite strongly preferred; Microsoft Dynamics, SAP, or equivalent considered).
  • Demonstrated experience managing financial close processes in a multi‑location, multi‑entity environment.
  • Experience designing and implementing internal controls frameworks.
Preferred Education and Experience
  • MBA or advanced degree in Accounting or Finance.
  • Public accounting experience (regional or national CPA firm with audit or tax background).
  • Experience in petroleum distribution, fuel wholesale, convenience store retail, or logistics/transportation.
  • Familiarity with Washington and Oregon fuel tax compliance (motor fuel tax, petroleum products tax, IFTA, federal excise).
  • Exposure to S‑Corporation accounting and pass‑through tax reporting.
Licenses, Certifications and/or Registrations (note if Required or Preferred)
  • Active CPA required
  • MBA preferred
