Job summary

AV in the United States is seeking a Contracts Associate II to provide administrative support to the Contracts Department. The role involves entering contracts and orders in ERP, PIEE, and CLM systems, with emphasis on accuracy and timely data handling.

  • Demonstrated proficiency in shifting priorities.

Responsibilities

  • Supports the Contracts business area with data entry and data validation in ERP, PIEE, and CLM systems.
  • Interprets and analyzes financial information and contract language for accurate ERP entry.
  • Maintains detailed and organized contract files and reconciles order management system issues.
  • Interfaces with cross-functional team members to obtain information and supports audit efforts.

The Contracts Associate II, provides administrative support to the Contracts Department. Performs Contracts and Order entry tasks in the Enterprise Resource Planning (ERP) and Procurement Integrated Enterprise Environment (PIEE), and Contracts Lifecycle Management (CLM) systems. Attention to detail and time management is key in this role.

Position Responsibilities

  • Performs a wide variety of administrative functions required to support the Contracts business area that include, but are not limited to: Confirm and collect all relevant data (including attachments and approvals as needed for entry); Interpret and analyze financial information and contract language on Contracts to ensure accurate entry into the ERP; Timely and accurate contract data entry into the ERP and CLM; Initiate requests for new customer information to be added into the ERP; Interfacing with several cross-functional team members to obtain information; Maintaining detailed and organized contract files; Initiate revisions to sales orders when applicable and approved; Reconcile order management system issues/errors.
  • Evaluate, review, and reconcile contracts for Closeout.
  • Support both internal and external audit efforts by providing validations, contract information, or reports from the ERP of files.
  • Other duties as assigned

Basic Qualifications (Required Skills & Experience)

  • High school diploma or GED equivalent is required
  • Minimum 4 years direct relevant experience with high volume data entry in ERP systems (Oracle Fusion is highly desired) or equivalent combination of education, training, and experience.
  • Ability to Multi-task and prioritize workload
  • Experienced and proficient in Microsoft Outlook, Word, PowerPoint, Excel and Adobe Acrobat as well as basic computer skills
  • Demonstrated proficiency in shifting priorities

Other Qualifications & Desired Competencies

  • Associate degree or higher is preferred
  • Prior experience in an aerospace/defense/government contracting environment is preferred
  • Demonstrates willingness and competency in learning multiple software programs

The Salary Range For This Role Is

$23 - $35
