Job summary

Marotta Controls, Inc. is seeking a Contracts Administrator I in Parsippany, NJ to manage contract lifecycle from proposal to execution with government customers and subcontractors.

You will work under supervision to ensure compliance with FAR/DFAR and company policies while delivering excellent customer service. The role requires handling various contract types, building relationships across teams, and potentially obtaining a Secret clearance.

Qualifications

  • Bachelor’s degree in finance, accounting, or business administration preferred.
  • 0–3 years of contract administration experience or related internship.
  • Experience with fixed-price, time and materials, cost reimbursable, BPAs, and IDIQs preferred.
  • Knowledge of FAR and DFAR contracting preferred.
  • US citizen; ability to obtain Secret clearance.

Responsibilities

  • Administers contracts including modifications and negotiations; ensures compliance with customer POs.
  • Prepare proposals in response to RFIs, RFPs and RFQs.
  • Analyze RFPs and ensure responsive proposals are prepared per requirements.
  • Coordinate with PMO, managers and customers on contracting issues; obtain approvals.
  • Develop or review prime and subcontractor flow-down documents for compliance.
  • Process contract-related orders including data accuracy, funding, and schedule adherence.
  • Maintain contract documentation and ensure internal compliance with requirements.

Contracts Administrator I
Overview:

The Contracts Administrator works under supervision supporting a full range of duties with primary emphasis toward ensuring contractual relationships between the company, its government customers and subcontractors in conformance with FAR/DFAR, company objectives and state and federal law. This position is responsible for creating, revising, reviewing, negotiating and overseeing company held contracts. Serves as the primary interface with customers, understanding their requirements.

Minimum Required Qualifications:
  • Bachelor’s degree in finance, accounting, or business administration preferred
  • 0-3 years of experience with contract administration, negotiations, and proposal preparation (preferred, however applicant may be a recent graduate w/related internship experience)
  • Experience with various contract types, including fixed-price, time and material, cost reimbursable, blanket purchase agreements (BPAs), and IDIQs preferred
  • Knowledge of federal government contracting preferred
  • Knowledge of federal acquisition regulation (FAR) and agency supplements preferred
  • Ability to establish and maintain relationships with internal and external teams of subject matter experts and external clients by delivering excellent customer service.
  • Must be able to function in a fast pace, team focused environment and manage a caseload of sales orders in an organized manner
  • Ability to obtain Secret clearance
  • Familiarity with US Government Contract Administration including FAR and DFAR regulations desirable
  • Ability to solve complex problems with support and identify when to elevate
  • Ability to quickly learn and operate within unfamiliar software. Familiarity with Microsoft Office a plus
  • Excellent verbal and written communication skills are required
  • Must be a US Citizen
Essential or Primary / Key Responsibilities:
  • Administers assigned contracts and to include but not limited to contract modifications, ensuring compliance with customer PO requirements, proposal preparation, and contract negotiation with existing or prospective clients. This includes but is not limited to:
  • Prepare proposals in response to customer RFI’s, RFP's & RFQ's.
  • Analyzes and evaluates RFPs and ensures responsive proposals are prepared in accordance with the RFP.
  • Supporting RFPs; understanding the proposals including engineering changes; supporting negotiation and defining activities and identifying priorities on each program.
  • Coordinating with other company functions as required to ensure appropriate reviews are conducted, scheduling required reviews, and obtaining required review and approval signatures prior to submittal of proposals or execution of contractual document.
  • Adheres to contract policies, procedures, methods, operating practices, and performance standards for areas of responsibility.
  • Serves as a liaison with the PMO, Functional managers, and customers regarding contracting issues, secure approvals and ensure successful contract execution.
  • Develop or review prime contract and subcontractor flow down documents to ensure compliance with prime contract requirements and to minimize company liability.
  • Perform all aspects of assigned contracts or purchase order processing including, but not limited to, accuracy of order entry data, contract funding, scope changes, contract amendments, receipts and delivery schedules, legal requirements, and other commitments.
  • Observe and support in preparation of negotiations, drafting required contract administration documentation etc.
  • Generate and maintain contract documentation.
  • Review purchase orders with intent to translate to internal governing documents that ensure internal compliance to the customer requirements.
  • Responsible for Sales Order entry and review ensuring their compliance to the customer requirements.
  • Assist in ensuring contract acquisition and fulfillment in accordance with company polices, legal requirements, customer specifications, FAR and DFAR.
  • Assist in negotiations, execution and management in Contracts.

This position is at our Parsippany, NJ office location.

Salary Range: $62,000 - $77,000/year
