Job summary

Janicki Industries in Hamilton, Washington is seeking a Contracts Administrator to join our Program Business team on-site. You will review customer contracts, manage document control, and support daily contracting activities in a fast-paced environment.

The ideal candidate will have 4+ years in contracts administration within aerospace/manufacturing, experience with FAR/DFARS, and the ability to collaborate with Legal/Management to mitigate risk.

Qualifications

  • Bachelor's degree or equivalent industry experience is required
  • 4+ years of contracts administration, proposal/compliance, or business management in manufacturing/aerospace
  • Knowledge of Firmed Fixed Price, Time & Materials, Cost Plus Fixed Fee or Cost-Plus Award Fee
  • Experience with FAR/DFARS requirements
  • Active DOD Secret clearance preferred
  • Experience in aerospace and ISO 9001/AS9100 familiarity
  • Experience redlining and coordinating approvals with Legal/Management
  • Experience building dashboards/trackers in Excel/Power BI

Responsibilities

  • Act as the primary interface with the customer for contractual issues; perform contract execution activities, ensure proposal compliance, maintain document control, and coordinate with customers.
  • Monitor contract and program to ensure contractual obligations are understood and met.
  • Participate in contract proposal preparation, contract negotiations, contract administration, and customer contract activities.
  • Review terms and conditions to address provisions and risks of financial terms, delivery, IP, termination, indemnification.
  • Review incoming RFQs to identify submission requirements and highlight compliance obligations.
  • Prepare and manage written communications with internal and external customers for assigned contractual matters.
  • Ensure timely delivery of all contractual deliverables and submission of invoices.
  • Understand Janicki Industries' business systems and processes for seamless integration.

We are seeking to hire a Contracts Administrator to join our growing team.

This position is located on-site in Hamilton, Washington State.

POSITION DESCRIPTION

The Contracts Administrator is responsible for reviewing customer contracts, maintaining accurate records and customer data, and supporting daily activities within the Program Business team. This role requires strong communication skills and a solid working knowledge of Janicki Industries’ manufacturing processes, standard products, accounting procedures, and sales workflows.

The ideal candidate thrives in a fast-paced, dynamic environment, can effectively manage shifting priorities, and consistently maintain confidentiality when handling both internal and external customer information.

The following essential job functions are performed as a Contracts Administrator:

  • Act as the primary interface with the customer for contractual issues; perform contract execution activities, ensure proposal compliance, maintain document control, and coordinate with customers.
  • Monitor contract and associated program to ensure that contractual obligations are communicated and understood.
  • Participate in contract proposal preparation, contract negotiations, contract administration, and customer contract activities to manage assigned contracts in accordance with company policies, legal requirements, and customer specifications.
  • Review terms and conditions to address provisions and risks of financial terms, acceptance criteria, delivery requirements, warranty, intellectual property, termination provisions, indemnification and all other potential risk areas and recommend risk mitigation strategies.
  • Review incoming RFQs to identify submission requirements and highlight compliance obligations.
  • Prepare and manage written communications with internal and external customers for assigned contractual matters.
  • Ensure timely delivery of all contractual deliverables and submission of invoices.
  • Understands Janicki Industries' business systems, procedures, and processes, ensuring seamless integration
  • Self-motivated and detail-oriented, with strong organizational, written, and verbal communication skills
  • Proficient in Microsoft Word, PowerPoint, Excel, SAP, and ECTR
  • Thrives under pressure while meeting multiple deadlines efficiently
  • Must have excellent communication skills, both verbal and written in the English language
  • Being at work on time and maintaining good attendance is a condition of employment and is an essential function of the job

EDUCATION/EXPERIENCE

  • Bachelor’s degree or equivalent industry experience is required
  • 4+ years of experience in contracts administration, proposal/compliance, or business management within a manufacturing, engineering, or aerospace environment
  • Knowledge of multiple contract types including Firmed Fixed Price (FFP), Time & Materials, Cost Plus Fixed Fee or Cost-Plus Award Fee
  • Experience with FAR/DFARS requirements
  • Active DOD Secret clearance preferred
  • Experience in the aerospace industry
  • Exposure to quality management standards (e.g., ISO 9001, AS9100) as they relate to document control and records
  • Experience redlining and coordinating approvals with Legal/Management
  • Prior ownership of proposal compliance checklists and submission portals
  • Experience building dashboards/trackers in Excel, Power BI, or other tracking tools for deadlines and deliverables
  • Advanced proficiency in software programs, including Microsoft Office, SAP, SQL reporting, and other relevant business tools
  • Exceptional verbal and written communication skills in English, with experience presenting to executives, managing customer relations, and negotiating contracts

This position will require the ability to obtain a U.S. Secret Security Clearance (U.S. Citizenship Required). Janicki will assist with gaining this access once employed. Special Access Program or other Government Access Requirements are mandatory for this position and requires candidate agreement to enter a Continuous Evaluation program.

Detailed Wage Information

Wage range for this role is between $83,000 - $110,000 plusa discretionary bonus, 401(k) matching, vacation, and health benefits. Employees can also receive additional pay for off-shifts, off-site work, and access pay. The range provided is Janicki’s estimate of the base compensation for this role. Actual amount offered will be based on job-related and non-discriminatory factors such as experience, location, education, training, skills, and abilities
