Job summary

Professional Contract Services, Inc. is adding a Contracts Administrator to our corporate Contracts team.

This role supports federal service contracts nationwide, primarily through the AbilityOne Program and on military installations, by preparing, negotiating, and maintaining contracts throughout their lifecycle. Based at our Corporate Headquarters in south Austin, TX, this position offers a Monday–Friday hybrid schedule with up to two days remote.

Qualifications

  • Bachelor’s degree in Business Administration, Contract Management, or a related field.
  • 1–3 years of experience in federal or state government service contract administration.
  • Basic familiarity with FAR and government contracting processes.
  • Certified Federal Contracts Manager (CFCM) or similar certification preferred.
  • Experience and knowledge of Cobblestone CLM software preferred.

Responsibilities

  • Assist in the preparation, negotiation, and administration of federal government contracts and subcontracts.
  • Review and analyze contract terms for required documents and risk; escalate discrepancies.
  • Help ensure compliance with FAR and other laws.
  • Perform administrative tasks related to acquisition planning, startups, ongoing administration, and closeout.
  • Attend contract kickoffs and coordinate action items across the Contracts team.
  • Coordinate with legal, finance, and project management to gather information for reports, audits, and modifications.
  • Assist with preparation of reports and documentation to government agencies.
  • Support responses to information requests and maintain complete contract files.
  • Monitor contract performance and follow up on deliverables and notices.
  • Serve as a primary coordinator for Cobblestone CLM platform, including rollout for new sites.

PCSI is adding a Contracts Administrator to our corporate Contracts team. This team supports federal service contracts across the country, primarily through the AbilityOne Program and on military installations, by preparing, negotiating, and maintaining contracts throughout their lifecycle.

In this role, you’ll support the Senior Contracts Manager and Contracts Managers with contract review, compliance documentation tracking, internal and external communication, and follow‑up on key contract deliverables. You’ll also serve as a primary project coordinator for the continued rollout and day‑to‑day use of Cobblestone, PCSI’s Contract Lifecycle Management platform, helping keep contract information organized, accurate, and accessible across the team.

The ideal candidate for this position will have some government contract administration experience, a strong ability to collaborate across multiple departments, and an interest in continuing to learn and grow in the federal contract management space.

How You’ll Work:

  • Based primarily at the Corporate Headquarters office in south Austin, TX.
  • Monday‑Friday hybrid schedule, up to 2 days per week remote.
  • Must be located in the Austin, TX metro area.

What You’ll Do as Contracts Administrator:

Contract Administration and Compliance Support

  • Assist in the preparation, negotiation, and administration of federal government contracts and subcontracts, taking guidance from the Senior Contracts Manager and other Contracts Managers.
  • Review and analyze contract terms and conditions for required supporting documentation, potential risk, and consistency with established processes, escalating questions or discrepancies to the appropriate Contracts Manager.
  • Help ensure compliance with FAR and other applicable laws and regulations.
  • Perform administrative and coordination tasks related to acquisition planning, contract startups, ongoing contract administration, and contract closeout as assigned.

Documentation and Team Communication

  • Attend contract kickoffs and other meetings throughout the contract lifecycle to coordinate action items across the Contracts team.
  • Coordinate with internal stakeholders, including legal, finance, and project management teams, to gather information needed for contract administration, reporting, audits, modifications, and customer requests.
  • Assist with the preparation of required reports and documentation to government agencies, ensuring materials are accurate, complete, and routed for appropriate review and approval.
  • Support responses to internal and external requests for information by collecting data, preparing draft materials, documenting follow‑up items, and routing responses for review.
  • Maintain complete, accurate, and organized contract and subcontract files, including awards, modifications, correspondence, deliverables, reports, and supporting documentation.
  • Monitor contract performance and follow up on outstanding deliverables, billing questions, customer notices, subcontract matters, and compliance documentation.

CLM System Project Coordination

  • Serve as a primary project coordinator for Cobblestone Contract Lifecycle Management (CLM) platform, supporting system setup, maintenance, and day‑to‑day use.
  • Coordinate Cobblestone rollout activities for new sites, including tracking project tasks, gathering required contract data and documents, and following up on site needs.
  • Help maintain Cobblestone as a centralized repository for contract data, templates, agreements, and supporting documentation.
  • Support the development and automation of contract templates and agreements within Cobblestone to improve consistency and efficiency.

What You’ll Need:

  • Bachelor’s degree in Business Administration, Contract Management, or a related field required.
  • 1‑3 years of experience in federal or state government service contract administration required.
  • Basic familiarity with Federal Acquisition Regulations (FAR) and government contracting processes required, with the ability to recognize when additional guidance or review is needed.
  • Certified Federal Contracts Manager (CFCM) or similar certification preferred.
  • Experience and knowledge of Cobblestone CLM software preferred.

Other Requirements:
