• Coordinate routing, tracking and execution of contract documents and amendments to ensure timely signatures.
• Perform quality assessment reviews on contract documents to ensure compliance with guidelines.
• Communicate with internal and external stakeholders to provide information and resolve issues.

This position performs (senior-level) technical administrative support and technical assistance to the Community Care Services Contracts Operations unit. Assists contract administration manager (CAM) in completing special assignments as needed. Assists with reviewing, tracking and monitoring contract documents and requisitions following routing processes and procedures. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Performs other related work as assigned.

This position handles relatively complex contract administrative support and technical assistance.

Essential Job Functions (EJFs)

• Assists with coordination, processing, and monitoring of CCSC purchase requests, requisitions, invoices, vouchers, payment requests, and performs financial program support for CCSC. Tracks, monitors and reports on status of requisitions and invoices. (20%)
• Provides administrative and operational support to the CCSC Director and CCSC CAM. Coordinates and completes travel for the CCSC Director, CCSC CAM and Regional Enrollment and Monitoring Director by utilizing eTravel. (5%)
• Accurately enters, updates, and maintains contract and amendment records in CAPPS Financials, ensuring data integrity, compliance with agency requirements, and timely processing of contractual actions. (25%)
• Coordinates the routing, tracking, and execution of contract documents, amendments, and official correspondence, ensuring signatures are obtained in a timely manner. (25%)
• Completes quality assessment reviews on contract documents to ensure compliance with state and federal guidelines. (15%)
• Communicates effectively with internal and external stakeholders to provide, exchange, or verify information, answer inquiries, address issues, and resolve problems. Completes additional tasks, projects, or assignments upon request to support the operation of CCSC. Must also perform other duties as assigned and necessary. (10%)

Registrations, Licensure Requirements Or Certifications

Certified Texas Contract Manager (CTCM). Certification completion required within 12 months of employment.

Initial Screening Criteria

• High School diploma or GED.
• Experience in performing data entry using Microsoft Word and Excel.
• Knowledge of HHSC Community Care Services programs preferred.
