THE ROLE:

The Proposal and Sales Support Specialist will be primarily responsible for managing a portfolio of company contracts, including contract events, price increases, renewals, contract close-outs, bid review, preparation, submittal, database management, and reporting. The Specialist will also provide contract compliance support by maintaining files, responding to contractual questions and requests, and accurately capturing contract data and milestones.


KEY RESPONSIBILITIES:
  • Manage a portfolio of contracts, including contract events, quarterly reporting, renewals, price increases, and close-outs. Handle bid reviews, preparation, submittal, database management, and reporting.
  • Monitor incoming bids from municipal and state procurement platforms and other bidding sites; review bids and inform relevant parties with pertinent details.
  • Handle municipal and state registrations, bid network registrations, and maintain these registrations, ensuring correct commodity codes and login information.
  • Perform administrative tasks related to contracts across functional areas.
  • Track upcoming contractual actions and deadlines.
  • Maintain contractual records such as bids, submissions, price lists, contracts, and amendments.
  • Ensure all contract statuses and actions are properly recorded in the system.
  • Respond promptly and accurately to contractual queries from internal and external stakeholders.
  • Provide reports on contract renewals, price changes, expirations, and other relevant metrics to the Team Leader.
  • Draft documentation for contract modifications, including renewals, price adjustments, and closeouts.
  • Review and summarize contracts, highlighting key provisions and language.
  • Notify relevant teams of upcoming contractual actions and support communication of contract details.
  • Assist with bids, RFPs, RFQs, and other solicitations, including summarizing opportunities and ensuring pricing objectives are met.

REQUIRED SKILLS AND EXPERIENCE:
  • 1-3 years of experience in contract management.
  • Highly organized, reliable, motivated, and capable of working under deadlines.
  • Project management skills, including organizing cross-functional efforts.
  • Excellent oral and written communication skills.
  • Strong interpersonal skills with a customer service approach.
  • Attention to detail.
  • Proficiency in Word, Excel, Outlook, and internet research.
