Region VII Area Agency on Aging is seeking a Contract Specialist to support the Contract Manager with maintaining the contracted service provider network and managing the RFP process. The role requires strong administrative and interpersonal skills and a willingness to travel across ten counties.

The position offers an opportunity to contribute to program effectiveness, provider monitoring, and compliance while working in a collaborative, mission-driven nonprofit setting in Bay City, MI.

Qualifications

• Associate degree preferred or equivalent combination of education and experience.
• Willingness and ability to travel within all ten counties of Region VII AAA service area.
• Proficient knowledge of Microsoft software including Excel, Outlook, SharePoint and Teams.
• Highly developed administrative, organizational, telephone, and interpersonal skills.

Responsibilities

• Maintenance of MI Choice Waiver Direct Purchase of Service (DPOS) provider files.
• Maintenance of ACLS subcontractor files and coordination of local funding requests.
• Assist with coordination and reconciliation of local funding requests.
• Participate in assessment of subcontractors for ACLS and provider monitoring for MI Choice Waiver service providers.
• Participate in the new provider contracting and training process and in the RFP process.
• Update the Service Provider Operations Manual as needed.
• Coordinate service provider complaints and grievances.
• Plan and participate in departmental and other ad hoc meetings and training sessions.
• Engage in staff development and community education/outreach activities.
• Collaborate and work in a team environment.
• Crosstrain in departmental tasks and duties.

BRIEF SUMMARY OF PURPOSE OF POSITION:

The Contract Specialist is the support position to the Contract Manager for the maintenance of the contracted service provider network and the Request for Proposals (RFP) process.

RESPONSIBILITES AND DUTIES:

• Maintenance of MI Choice Waiver Direct Purchase of Service (DPOS) provider files.
• Maintenance of Bureau of Aging Community Living and Supports (ACLS) subcontractor files.
• Assist with coordination and reconciliation of local funding requests
• Participating in Assessment of Subcontractors for ACLS and Provider Monitoring for MI Choice Waiver service providers
• Participate in the new provider contracting and training process
• Participate in the Request for Proposal process
• Update the Service Provider Operations Manual as needed
• Coordinate service provider complaints and grievances
• Plan and participate in departmental and other ad hoc meetings and training sessions
• Engage in staff development and community education/outreach activities as assigned
• Manage tracking of provider information and required compliance monitoring
• Collaborate and work in a team environment
• Complete residential and in-home surveys for MI Choice Waiver providers
• Crosstrain in departmental tasks and duties

QUALIFICATIONS & SKILLS:

• Possession of an Associate Degree preferred, or equivalent combination of education and experience as acquired with one to two years of relevant work experience in an office setting
• Must be willing and able to travel within all ten counties of the Region VII AAA service are (and at times out of region) in reliable transportation
• Highly developed computer, administrative, organizational, telephone, and interpersonal skills to meet the demands of this position
• Proficient knowledge of Microsoft software including, but not limited to: Excel, Outlook, SharePoint, and Teams
