Job summary

Responsibilities

  • Serve as the primary Pine Bend administrator for TRACK, supporting contractor workforce data, records management, system administration activities, and contractor company maintenance.
  • Maintain contractor company information, workforce records, training requirements, labor classifications, and related data within TRACK, ensuring information remains accurate, complete, and compliant.
  • Support TRACK users through troubleshooting, training, testing, system updates, and continuous improvement activities.
  • Generate workforce and compliance reports while maintaining system procedures, contractor onboarding documentation, records management processes, and other administrative activities supporting contractor operations.
  • Support contractor authorization, billing, and invoice processes through documentation routing, tracking, record management, and coordination with procurement, approvers, and other stakeholders.
  • Coordinate meeting logistics, conference room scheduling, visitor support, catering, supplies, and meeting materials for contractor and site activities.
  • Prepare administrative materials and support training programs, workforce engagement activities, contractor recognition events, and special site initiatives.

Job description

The Contract Management System Coordinator serves as the primary administrator for TRACK and supports related contractor processes at Pine Bend. This role is responsible for maintaining contractor records, qualifications, training requirements, workforce data, access requirements, and supporting documentation within TRACK. The position partners with contractor companies and internal stakeholders to support onboarding activities, workforce reporting, compliance documentation, and day to day administrative activities.

Our Team

The Pine Bend contractor support team works closely with contractor companies, operations, projects, and site stakeholders to support contractor workforce readiness, compliance, and site access requirements. This role partners with a collaborative group that helps ensure contractors have the information, resources, and support needed to safely and efficiently perform work on site.

What You Will Do

TRACK Administration:

  • Serve as the primary Pine Bend administrator for TRACK, supporting contractor workforce data, records management, system administration activities, and contractor company maintenance.
  • Maintain contractor company information, workforce records, training requirements, labor classifications, and related data within TRACK, ensuring information remains accurate, complete, and compliant.
  • Support TRACK users through troubleshooting, training, testing, system updates, and continuous improvement activities.
  • Generate workforce and compliance reports while maintaining system procedures, contractor onboarding documentation, records management processes, and other administrative activities supporting contractor operations.

Administrative & Site Support

This position includes both TRACK administration and shared administrative support for contractor and construction-related activities at Pine Bend.

  • Coordinate meeting logistics, conference room scheduling, visitor support, catering, supplies, and meeting materials for contractor and site activities.
  • Prepare administrative materials and support training programs, workforce engagement activities, contractor recognition events, and special site initiatives.
Who You Are (Basic Qualifications)
  • Proficiency with Microsoft Office applications including Excel, Outlook, Teams, Word, and SharePoint.
  • Experience maintaining records, data, documentation, or administrative processes.
  • Experience managing multiple priorities and deadlines.
  • Experience working in an industrial, manufacturing, refinery, or construction environment.
What Will Put You Ahead
  • Experience with TRACK or similar contractor management platforms.
  • Experience supporting contractor, construction, industrial, or refinery operations.
  • Experience with compliance administration, workforce reporting, or onboarding processes.

For this role, we anticipate paying $65,000- $80,000 per year. This role is eligible for variable pay, issued as a monetary bonus or in another form.
