Job summary

Qualifications

  • Minimum of three (3) years of experience in contract administration, contract coordination, project controls, procurement support, or related field.
  • Experience on FDOT projects or transportation infrastructure programs.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Effective written and verbal communication skills.
  • Attention to detail in reviewing technical and contractual documentation for accuracy.
  • Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to collaborate with diverse teams and stakeholders.
  • Ability to learn new computer applications.
  • Ability to perform basic mathematical computations.

Responsibilities

  • Assisting with preparation, review, and submission of specification packages and detailed cost estimates.
  • Coordinating communication between project teams, contractors, the public, and local agencies.
  • Reviewing contract documents for accuracy, completeness, and compliance with project requirements.
  • Tracking contract milestones, deliverables, deadlines, amendments, and renewals.
  • Processing Supplemental Agreements and examining related estimates for consistency and alignment.
  • Preparing and maintaining contract files, reports, correspondence, and supporting documentation.
  • Monitoring obligations and identifying potential compliance risks or changes.
  • Developing and issuing Work Documents with locations, pay items, and estimated quantities.
  • Reviewing contractor invoices for accuracy and FDOT compliance.
  • Collaborating with internal technical teams, finance, procurement, and external stakeholders.
  • Maintaining records and assisting audits and reporting.

We are seeking a Contract Coordinator to join our growing Florida transportation team. In this role, you will play an important part in supporting project delivery by coordinating contract administration activities, assisting with proposals and negotiations, and ensuring compliance with contractual requirements for transportation and infrastructure projects.

What You'll Do

As a Contract Coordinator, you will provide administrative and contractual support throughout the project lifecycle. Your responsibilities may include:

  • Assisting with the preparation, review, and submission of , specification packages, anddetailed cost estimates.
  • Coordinating communication and/or information between project teams, contractor, the public, and local agencies.
  • Reviewing contract documents to ensure accuracy, completeness, and compliance with project requirements.
  • Tracking key contract milestones, deliverables, deadlines, amendments, and renewals.
  • Processing Supplemental Agreements including examining estimates related to materials, equipment, labor, consulting services, and project costs or pay items for consistency and contractual alignment.
  • Preparing and maintaining contract files, reports, correspondence, and supporting documentation.
  • Monitoring contractual obligations and helping identify potential compliance risks, issues, or changes that may impact project delivery.
  • Develops and issues Work Documents with specific locations, pay items and estimated quantities for work to be performed.
  • Reviews for contractor invoices for accuracy, contract compliance, and processes according to FDOT procedures.Coordinating contract modifications, and documentation updates throughout project execution.
  • Collaborating with internal technical teams, finance professionals, procurement staff, and external stakeholders to support successful project outcomes.
  • Supporting compliance with Florida Department of Transportation (FDOT) requirements, policies, and procedures.
  • Maintaining accurate project records and assisting with audits, reporting requirements, and document management activities.
  • Contributing to continuous improvement initiatives that enhance contract administration processes and project efficiency.

The base salary range for this position is $80,000.00 to $105,000.00. Within the range, individual pay is determined by work location and additional factors, including job‑related skills, experience, and relevant education or training.
