Job summary

UTMB Health is seeking a Contract Associate to manage a portfolio of low-to-moderate-risk contracts and support institution-wide contracting initiatives. You will assist with price files, GPO data management, and ensure compliance with laws and UTMB policies, reporting to the Contract Manager.

The role emphasizes drafting, negotiating, and monitoring contracts, maintaining audit-ready records, and coordinating with multiple departments to implement contract fulfillment.

Qualifications

  • High School Diploma and two (2) years of experience in a business/professional setting.
  • An equivalent combination of education and experience relevant to the role may be considered for this position.
  • Must obtain C.P.S.M., C.P.P.B, C.P.P.O, CTCM, or an equivalent nationally recognized certification of professional credentials as deemed acceptable to UTMB within 18 months of appointment in title.
  • Bachelor's Degree preferred.

Responsibilities

  • Oversee and prepare contract documents from the initial stages through execution for low- to moderate-level contracts.
  • Review, negotiate, draft, revise, and amend contracts to ensure compliance with the State of Texas, UT System, and UTMB rules and regulations.
  • Ensure contract documents and records are complete, organized, and audit-ready in compliance with applicable laws and institutional policies.
  • Participate in the development and fulfillment of contract requirements.
  • Support data management efforts, including maintaining price files and producing reports to track contract compliance, performance, and savings.
  • Perform routine information gathering and reporting.
  • Assist with investigating and resolving contract-related issues.
  • Coordinate the work of various departments and act as a liaison between UTMB and subcontractors to implement fulfillment of contracts.
  • Electronically maintain proper contracting files, records, and associated documentation.
  • Perform contract monitoring throughout the lifetime of the contract, including renewals, amendments, and terminations.
  • Demonstrate strong communication skills in conveying contract information to stakeholders and assisting in resolving contractual inquiries.
  • Perform all other duties as assigned within the Contracting team.

Working under the direction of the Contract Manager, this position is responsible for supporting institution-wide supply chain contracting initiatives, price files, and GPO data management while ensuring compliance with applicable laws and UTMB policies.

Job Duties:

Marginal or Periodic Functions:
  • Participate in UTMB Supply Chain process improvement projects.
  • Participate in UT Alliance and GPO activities.
  • Provide local and State reporting support.
Knowledge/Skills/Abilities:
  • Analytical and organizational skills: ability to review, draft, and revise documents accurately; manage multiple contracts and deadlines.
  • Clear and professional verbal and written communication skills for collaborating with internal departments and external vendors.
  • High proficiency in Microsoft Office Suite, technical proficiency in learning contract management software, and other supply chain tools.
  • Documentation and record management: skilled in maintaining electronic files, contract records, and supporting documentation to regulatory standards.
  • Problem-solving: ability to assist in investigating and resolving contract-related issues efficiently.
  • Attention to detail: ensure contract compliance and precise data handling.
  • Basic negotiation skills: participating in review and revision of contracts under direction.
  • Participate and work in a collaborative environment.
  • Ability to analyze and prioritize workloads with multiple variable deadlines.
Salary Range:

Actual salary commensurate with experience.

Work Schedule:

Partial Remote, onsite at minimum twice a week. Monday through Friday, 8 am to 5 pm, and as needed on occasion.
