Primary Responsibilities

CA Admin will provide assistance to the Project Managers, Construction SVP/VPs and SVP of Finance by receiving, analyzing, processing, and administering construction subcontracts, purchase orders, change orders and pay apps. AP Coordinator will assist and be responsible for construction accounts payable, but not limited to reviewing and entering invoices, and printing and mailing checks.

Contract Administrator Responsibilities

  • Receive and validate subcontracts, purchase orders, and change orders from Construction Management Staff
  • Lead and support all facets of construction contract administration
  • Ensure proper approval and execution of construction subcontracts, purchase orders, and change orders by appropriate company personnel (i.e., SVP of Finance, Construction SVP/VPs, Project Managers, etc.)
  • Analyze and validate construction subcontracts, purchase orders, change orders and project information to ensure they comply with company and corporate policies
  • Process approved construction billings per contract terms to Vendors/Subcontractors each month
  • Flexibility to work outside normal work hours/weekends, as required

AP Coordinator Responsibilities

  • Accounts Payable for construction projects
  • Assisting Construction Sr AP Coordinator as needed
  • Research items as needed and filing

What You Bring To The Role

  • Three to five years related Contract Administration or Construction Billing experience or equivalent combination of education and experience
  • Proficiency in Excel or equivalent spreadsheet software and Microsoft Office products
  • Working knowledge of Procore, DocuSign and Sage/Timberline accounting system software preferred
  • Attention to detail is mandatory
  • Ability to read, analyze, and process contract documents and financial reports
  • 3+ years of A/P experience
