About the Role
The Content Manager oversees the creation, organization, and optimization of a centralized content library of reusable proposal materials, templates, and past responses. This role also includes direct supervision of proposal support staff to ensure alignment across content management, proposal support, and technical writing functions.
This position requires a strategic thinker who can assess long-term content needs, implement knowledge management strategies, and drive process improvements to enhance accessibility and usability.
The Content Manager will engage with proposal writers and stakeholders to identify challenges and proactively implement solutions that improve content retrieval and efficiency. As a people manager, this individual will oversee Proposal Support staff, ensuring their work contributes to the overall content strategy. They will provide guidance, training, and mentorship to foster a collaborative environment while ensuring quality, consistency, and efficiency. Strong proficiency in AI, content automation tools, and project management software are essential for driving innovation in content accessibility.
This is a full-time, permanent position with flexible working hours from Monday to Friday. While the role can be performed remotely, occasional travel may be required for meetings, training, or industry events.
Role Responsibilities
Content Management & Oversight
Maintain and optimize a centralized repository of proposal materials, ensuring content is current, structured, and accessible.
Audit and refine content regularly to enhance relevance and usability while eliminating outdated or redundant materials.
Capture and integrate new content from SME updates and past proposals to improve accuracy and minimize future edits.
Oversee tagging and structuring strategies to support scalability and improve retrieval efficiency.
Identify and resolve content access challenges in collaboration with proposal teams.
Provide training and develop user-friendly workflows, documentation, and instructional materials.
Use analytics to assess content performance and recommend improvements.
People Management & Leadership
Supervise Proposal Support staff, ensuring alignment between content management, proposal development, and technical documentation.
Provide coaching, training, and mentorship to support skill development and team collaboration.
Assign and oversee work, ensuring timely completion of content-related tasks.
Serve as an escalation point for content-related challenges, guiding problem-solving efforts.
Foster a collaborative team environment and drive continuous process improvements.
Evaluate workload distribution and optimize workflows to balance priorities effectively.
Technical Writing & Content Development
Oversee the creation of clear, concise, and accurate technical content to support proposals and business development.
Ensure documentation aligns with business needs and incorporates SME and stakeholder feedback.
Work with the Technical Writer to develop structured, reusable content for efficient proposal writing.
Technology Integration & Process Optimization
Lead the setup and optimization of proposal management software, project management tools, and AI-driven solutions.
Maintain a structured metadata and tagging system to improve content retrieval and usability.
Continuously explore new tools and methods to enhance content development, automation, and accessibility.
Content Strategy & Long-Term Planning
Develop scalable content strategies that align with organizational objectives and support long-term efficiency.
Attend proposal development meetings to identify pain points and proactively develop content solutions.
Collaborate with Proposal Leaders, SMEs, Marketing, and Proposal Writers to forecast content needs and reduce reactive last-minute updates.
Apply critical thinking to content curation, evaluating materials for long-term use and relevance.
Stay informed on industry trends and emerging technologies to drive continuous improvement.
Knowledge, Skills and Experience Requirements
Education and Experience
Experience in content management, proposal development, technical writing, or knowledge management (3+ years).
Prior people management or mentorship experience (1+ year).
Bachelor’s degree in Communications, Knowledge Management, Information Systems, Business, Technical Writing, or a related field. Equivalent experience in proposal management will be considered, particularly with demonstrated expertise in workflow automation and AI tools.
Technical and Analytical Skills
Proficiency in content management systems, proposal management software, and project management tools.
Experience with AI-powered knowledge management solutions (e.g., ChatGPT, Copilot, proposal automation tools).
Strong technical writing and editing skills, with an understanding of how to create structured, reusable content.
Strong analytical and problem-solving skills to optimize content and anticipate challenges.
Communication and Leadership
Strong written, editing, and proofreading abilities with the ability to communicate complex concepts clearly.
People management or mentorship experience, including the ability to provide feedback and guide team members.
Strong active listening and collaboration skills to engage in team discussions and identify content gaps.
Project Management and Adaptability
Experience in process optimization and continuous improvement methodologies.
Strong organizational skills with the ability to manage multiple priorities effectively.
Willingness to learn and adapt to new technologies, industry trends, and evolving business needs.
