Construction Recordkeeper III

Maintains construction project records and processes related paperwork; reviews and modifies contract documents to reflect changes to the original agreement; monitors records to verify compliance with state and federal laws; and determines payments due to contractors for work completed. Work requires contact with the public. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Construction Recordkeeper IV

Maintains construction project records and processes related paperwork; reviews and modifies contract documents to reflect changes to the original agreement; monitors records to verify compliance with state and federal laws; determines payments due to contractors for work completed; maintains liaison with construction inspectors and contractor's staff; and trains others. Work requires contact with the public. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Essential Duties:

Construction Recordkeeper III

  • May serve as a lead worker or project leader.
  • Prepares and submits monthly and final estimates; checks calculations against work logs and estimate forms to verify work is completed before payment is made.
  • Prepares and types correspondence, reports, supporting documents, and files.
  • Maintains filing structure for each construction project within assigned area.
  • Performs other job responsibilities as assigned.

Construction Recordkeeper IV

Above duties, as well as:

  • Attends pre-construction meetings to instruct contractors' bookkeepers on record-keeping procedures.
  • Maintains liaison with construction inspectors and contractor's staff to ensure project records accurately reflect changes and agreements.
  • Trains less experienced employees.
  • May serve as a lead worker or project leader.
  • Prepares and submits monthly and final estimates; checks calculations against work logs and estimate forms to verify work is completed before payment is made.
  • Performs other job responsibilities as assigned.

Minimum Qualifications:

Education: High School Diploma or equivalent in general education.

Experience: 2 years of record-keeping, bookkeeping, or related experience. Experience can be satisfied by full-time or prorated part-time work. Related college education or relevant technical training may be substituted on a year-for-year basis. Substitutions for Minimum Qualifications

Licenses and Certifications: Valid driver’s license; position requires driving a state vehicle.

Construction Recordkeeper IV

Physical Requirements and Working Conditions:

  • Sedentary work: Lift up to 10 lbs and occasionally carry files or small tools
  • Standing for prolonged periods
