POSITION OVERVIEW

The Project Coordinator supports the successful delivery of assigned commercial construction projects by coordinating project accounting, financial documentation, contract administration, compliance records, and communication among Project Managers, Accounting, subcontractors, lenders, owners, and other project stakeholders.

Reporting to the Senior Project Manager/Controller, this role is responsible for maintaining accurate and complete project records; preparing and coordinating lender draw packages; reviewing invoices, change orders, material costs, insurance documentation, lien releases, and prevailing-wage certified payroll records; and keeping project deliverables organized and on schedule.

The successful candidate brings hands-on accounting experience, strong analytical and organizational skills, and the ability to manage multiple projects and deadlines with accuracy. The role requires sound judgment to identify discrepancies, evaluate documentation, resolve routine issues, prioritize competing demands, and escalate material financial, contractual, or compliance concerns to the appropriate leader.

Project Accounting, Billing & Cost Coordination
  • Prepare, compile, and coordinate complete lender draw packages, including AIA G702/G703 forms, subcontractor and supplier invoices, change orders, lien releases, and supporting documentation.
  • Maintain the project draw calendar and coordinate draw meetings with lenders, owners, and owner representatives. Establish the draw schedule at project start and target submission of complete draw packages at least five (5) days before the applicable draw meeting, as required.
  • Review and analyze invoices entered in the Spectrum accounting system before each draw; identify missing support, apparent discrepancies, and items requiring correction or approval.
  • Monitor draw amounts, change orders, material purchases, and related project costs for accuracy and consistency with project records. Coordinate corrections and questions with the Project Manager and Accounting team.
Contract Administration, Notices & Project Records
  • Create and maintain an organized project binder or approved electronic file containing the prime contract, Notice to Proceed, subcontracts and amendments, change orders, PGCC reallocations, Notices of Completion, and other required project records.
  • Coordinate pre-lien notices and related documentation for assigned projects in accordance with company procedures and applicable project requirements.
  • Coordinate preparation and filing of Notices of Completion with the Project Manager and appropriate parties, track deadlines and confirm documentation is retained in the project file.
  • Maintain reliable document controls and follow up on incomplete, inconsistent, or overdue project paperwork to support timely billing, payment, and closeout.
Subcontractor Insurance & Compliance Documentation
  • Review subcontractor insurance information in the company's designated system and compare coverage documentation with PGCC requirements; flag missing, expired, or potentially noncompliant records for resolution before work or payment proceeds, as applicable.
  • Coordinate with subcontractors and internal project personnel to obtain required insurance certificates, endorsements, invoices, lien releases, and other supporting records.
  • Support prevailing-wage documentation processes by communicating requirements to subcontractors, obtaining certified payroll records with draw submissions, reviewing reported classifications, rates, dates, and descriptions for completeness and apparent consistency, and researching applicable rates when assigned.
  • Escalate potential prevailing wage, payroll, liens, billing, or contract-documentation issues to the Project Manager and/or accounting team. This role supports compliance processes and does not replace formal legal or payroll review where required.
Project Coordination, Communication & Quality
  • Serve as a consistent coordination point for assigned project documentation and draw-related communication among Project Managers, Accounting, lenders, owners, owner representatives, subcontractors, and vendors.
  • Prioritize deliverables across multiple assigned projects, track key due dates, communicate status and risks, and follow through to resolve outstanding items.
  • Use company-approved accounting, scheduling, document-management, and Microsoft Office tools to maintain accurate records and produce timely, professional work products.
  • Exercise sound judgment within delegated authority, recommend practical next steps when issues arise, and refer to significant decisions or exceptions to the Senior Project Manager or other authorized leader.
  • Perform other related duties as assigned and support company policies, procedures, quality standards, sustainability practices, and social responsibility commitments.
QUALIFICATIONS
Required
  • At least three (3) years of hands-on accounting experience is required. Relevant experience may include project accounting, accounts payable/receivable, invoicing, billing, cost tracking, reconciliations, or financial documentation.
  • High school diploma or equivalent required. Associate or bachelor's degree in accounting, Finance, Business, Construction Management, or a related field is preferred.
  • Strong proficiency in Microsoft Office, particularly Excel, and the ability to learn and use accounting, scheduling, and project-documentation systems.
  • Demonstrated ability to review financial and contractual documents carefully, identify inconsistencies, organize supporting records, and maintain data accuracy.
  • Strong written and verbal communication, follow-through, problem-solving, organization, and time-management skills.
  • Ability to manage multiple projects and deadlines, prioritize competing demands, and work effectively with internal teams and external stakeholders.
Preferred
  • Experience in commercial construction, general contracting, real estate development, or construction accounting.
  • Experience using Trimble Spectrum software to review project financial records, job costs, vendor invoices, billing, and related accounting documentation.
  • Experience using Trimble Pay, the subcontractor payment and compliance portal, to review or track subcontractor payment applications, lien waivers, compliance documentation, and approval status.
  • Experience preparing lender draw packages and AIA G702/G703 applications for payment.
  • Familiarity with subcontract agreements, change orders, lien releases, pre-lien notices, Notices of Completion, subcontractor insurance requirements, and job-cost documentation.
  • Experience reviewing prevailing-wage certified payroll documentation and researching applicable classifications or wage rates.
