Description
Provides a wide variety of reception, support, and administrative assistance to residents, visitors, guests, and other employee-partners. Administrative support should be in accordance with policies and procedures, current federal, state, and facility standards, guidelines, and regulations governing our company.
Principal Duties and Responsibilities:
- Upholds the Cantata Promise by treating all individuals with respect, integrity, and compassion.
- Assists the Life Enrichment Director with daily operations, encourages participation in wellness programs, and ensures building security.
- Handles reception duties, greets visitors, and directs them as needed. Communicates with residents and visitors, maintaining respect and fairness.
- Observes and reports changes in residents' conditions, completes administrative tasks, and handles data entry as instructed by the Nurse Manager or Campus Director.
- Schedules appointments, contacts residents or responsible parties, and works with Life Enrichment to manage activity calendars.
- Assists with transporting residents, photocopies/faxes documents, and ensures files are up-to-date and accessible.
- Monitors clerical supplies, delivers messages promptly, and distributes mail.
- Maintains a positive atmosphere in the department, adapts to changing situations, and follows work assignments.
- Attends required training and adheres to Cantata’s policies and procedures.
Requirements
- High School graduate or equivalent.
- Prior office/receptionist experience helpful.
- Represents Cantata professionally to visitors, vendors, employees, and others.
- Knowledge of computer systems, preferably Microsoft Office, Outlook Calendar, and other office equipment.
- Professional appearance and attitude.
- Ability to work independently with little or no supervision.
- Effective verbal and written communication skills with a diverse group of people.
- Ability and willingness to work harmoniously within a team environment.
- Ability to deal tactfully with personnel, residents, family members, visitors, government agencies, and the public.
- Proficiency in reading, writing, speaking, and understanding English.
- Aptitude for detail work.
- Ability to relate to and work with ill, disabled, elderly, emotionally upset, and sometimes hostile individuals within the facility.
Contact With Others
Extensive daily contact with residents/clients, personnel at all levels within the company, and resident’s family members and community contacts.
Physical Requirements/Working Conditions
- Must meet general health requirements.
- Intermittent physical activity including bending, reaching, and prolonged sitting.
- Work in office areas, sitting at a computer monitor.
- Subject to frequent interruptions, ability to multi-task.
- Walking, climbing stairs, using elevators as needed.
Exposure Classification
- Category II (no routine contact with blood, body fluids, or tissues).
- No exposure to chemicals used in nursing departments.
