Responsibilities

  • Develop the Community Services enrichment programs, classes, and camps.
  • Coordinate with district personnel to schedule facility use for enrichment programs, classes, and camps.
  • Create marketing materials for enrichment programs, classes, and camps, including catalogs, flyers, and social media.
  • Set up and maintain the Web Store for enrichment programs, classes, and camps.
  • Promote enrichment programs throughout the District and Community.
  • Reconcile tuition and fees to registrations.
  • Provide excellent customer service and assist customers with questions, registrations, payments, cancellations, and refunds.
  • Work with vendors/instructors to launch enrichment programs, classes, and camps by preparing the site and facilitating start of programs.
  • Serve as substitute supervising children in Community Services programs when required.
  • Maintain confidentiality and travel as needed.

PRIMARY PURPOSE

The Community Education Coordinator oversees and implements the enrichment programs, camps, classes, and clinics offered by the Community Services Department and extends the programs' benefits to as wide a selection of the community as is interested in and can benefit from participation in the course offerings and activities.

QUALIFICATIONS
Education/Certification
  • High school diploma or equivalent
Special Knowledge/Skills
  • Ability to work independently and as a member of a work team, as well as maintain a positive office environment
  • Ability to recruit and manage enrichment program personnel, vendors, instructors, and coaches
  • Ability to communicate effectively to the community, vendors, instructors, and coaches about setting up, conducting, and closing out classes, camps, and clinics

MAJOR RESPONSIBILITIES AND DUTIES
Program Development
  1. Develop the Community Services enrichment programs, classes, and camps.
  2. Responsible for collecting proposals and scheduling events, avoiding competing programs.
  3. Coordinate with district personnel to schedule facility use for enrichment programs, classes, and camps.
  4. Create marketing materials for enrichment programs, classes, and camps, including catalogs, flyers, and social media.
  5. Set up and maintain the Web Store for enrichment programs, classes, and camps.
  6. Promote enrichment programs throughout the District and Community.
  7. Reconcile tuition and fees to registrations.
  8. Provide excellent customer service and assist customers with questions, registrations, payments, cancellations, and refunds.
  9. Work with vendors/instructors to successfully launch enrichment programs, classes, and camps by accessing the facility, preparing the site/classroom, checking in registrants, and facilitating the start of programs.
  10. When required, serve as a substitute supervising children in other Community Services programs throughout the year.
Instructional and Program Evaluation/Review
  1. Prepare forms and post online forms for the evaluation of Community Education classes, camps, clinics and instructors.
  2. Conduct evaluations and assist in reviewing the information to help make program decisions.
  3. Seek feedback from appropriate instructors and participants regarding classes, camps, and clinics.
Personnel Management / Supervisory Responsibilities
  1. Recruit qualified vendors, instructors, and coaches to offer enrichment programs, classes, and camps.
  2. Collect and maintain fingerprinting and background checks for vendors, instructors, and coaches in collaboration with the Human Resources Department.
  3. Train vendors, instructors, and coaches on district guidelines, procedures, and practices.
  4. Collect documentation and process payments to vendors, instructors, and coaches.
  5. Oversee performance and success of vendors, instructors, and coaches.
  6. Through surveys and evaluation reports, evaluate the performance of programs offered and the effectiveness of vendors, instructors, and coaches. Review evaluations to assist in making program improvements and decisions.
