Job summary

Job description

Communications Specialist – Lexington, Kentucky

Join PHI Health, the leading air ambulance provider, to help coordinate life‑saving operations.

Responsibilities
  • Assimilate incoming information to support quality decision‑making for transport requests and triage.
  • Maintain effective communication with medical and aviation crew and aircraft using the statewide multi‑channel radio system.
  • Perform flight following procedures and document detailed medical information for each mission as a legal record.
  • Coordinate national and international medical transports in collaboration with aviation, medical, and communications departments.
  • Accurately input flight and ground transport data into the PHI database, complying with FAA Part 135 and PHI Air Medical policies.
  • Maintain knowledge of FAA regulations (Part 135) and ensure all policies and procedures are current.
  • Develop positive relationships with referring, receiving facilities, and pre‑hospital agencies to coordinate safe and expedient responses.
  • Use customer service practices to complete all tasks and implement notification procedures for incidents, accidents, or emergencies.
  • Attend departmental staff meetings and continuing education meetings as required.
  • Receive quote requests for long‑distance air medical transports, calculate quotes based on the nearest base, and educate callers on services and logistics.
  • Initiate the front‑end billing process for quoted patient accounts and follow up on accounts as needed.
  • Provide outbound follow‑up calls to requestors regarding quote status and attempt to identify backhaul (empty) flight legs.
  • Keep patient files current with up‑to‑date contact information, hospital, and case management contacts.
Qualifications
  • High School Diploma or equivalent; EMS and/or air medical communications experience preferred.
  • Experience in public relations, customer service, marketing/sales, healthcare billing, and/or insurance preferred.
  • Medical terminology knowledge preferred.
  • Computer literate with strong Word and Excel skills; ability to learn custom software programs.
  • Excellent customer service skills and the ability to remain calm under high‑pressure situations.
  • Logical, clear, and problem‑solving decision‑making based on given information.
  • Pass pre‑placement drug screening and background check.
  • Safety Sensitive designation for the Arizona Medical Marijuana Act.
Training Requirements
  • Communication Specialist Academy, PHI New Hire Orientation, PHI Destination Zero.
  • King County Emergency Medical Dispatcher Certification Program.
  • Yearly recurrent training courses including HIPAA and Code of Conduct.
