Job Description

The Communications Project Manager helps to manage a large portfolio of projects for BYU-Pathway’s Communications team which specializes in content, design, public relations, and messaging. The project manager is expected to create the structure and planning necessary for projects to move forward effectively. In addition to these daily tasks, the project manager also oversees graduation efforts and some event planning.

Job Description

A critical aspect of this position is stakeholder management, which includes understanding, coordinating, and managing client and resource team expectations. The stakeholders and clients are primarily internal, as such, it will be important that this position can manage relationships, building trust throughout the organization.

The project manager needs to be expert in scope, time, and cost management. They are also expected to provide regular reports on team capacity, project completion, and other related data. They should be able to communicate realistic and achievable completion dates.

The ideal candidate will be able to keep a level head in high-stress situations, see clearly the road forward, understand priorities, and encourage collaboration. They will also be able to evaluate competing demands, communicate constraints, and ensure all parties have the necessary information to move the work forward.

This position is full-time and typically works (Monday – Friday between the hours of 8 am - 5 pm). The position is a hybrid position with the expectation that the incumbent will come into the BYU-Pathway Worldwide headquarters in Salt Lake City 1-3 days per week.

Responsibilities

Manage all projects for BYU-Pathway Communications team

• Ensure projects from all members of the communications team are delivered on-time, within scope, and within budget
• Have a high level of understanding for workload management for each team within Communications
• Lean into curiosity about using artificial intelligence (AI) to improve project workflows, processes, and team time management.
• Develop detailed project plans to monitor and track the progress of each project
• Use project management software (Wrike) to build each project, assign and manage tasks, and build and manage reports
• Manage changes to the project scope, project schedule, and project costs
• Meet budgetary objectives and adjust project constraints based on financial analysis
• Hire, mentor, and manage a team of part-time employees, interns, and volunteers assigned to various job functions
• Provide project-management-based leadership for institutional events and other complex initiatives, including coordination of internal teams, vendors, audiovisual needs, catering, guest logistics, event collateral and other event requirements as applicable
• Manage relationships with vendors to produce printed materials, branded merchandise, etc.

Lead in project planning, reporting, and annual strategic planning

• Facilitate quarterly and annual communications planning.
• Be proactive in identifying opportunities to streamline processes, reduce duplicated effort, and improve workflows.
• Conduct regular project and workload reviews with communications team members’ assignments to identify potential risks with task and project completion
• Report regularly to communications managers and director regarding potential risks with task and project completion
• Conduct post-project and event debriefs to identify lessons and ways to improve future work.

Build Trust and Strengthen Team Effectiveness

• Serve as a trusted strategic and operational partner between Communications and departments throughout BYU-Pathway Worldwide.
• Establish clear expectations with the production teams and the stakeholders at the beginning of projects and communicate consistently throughout the work.
• Ensure stakeholders and approvers review and approve assets as assigned
• Define each project’s scope and objectives, involving all relevant stakeholders and ensuring technical feasibility
• Build relationships that allow conversations about deadlines, scope, priorities, and capacity to remain constructive and solution-oriented.
• Communicate with confidence, diplomacy, kindness, and appropriate candor.
• Approach high-pressure situations with steadiness, optimism, and shared perspective.
• Create and maintain predictable processes and communication rhythms that reduce unnecessary uncertainty and last-minute disruption.

Education And Experience
