The Pittsburgh Supercomputing Center (PSC), a joint research center of Carnegie Mellon University and the University of Pittsburgh, was established in 1986, and for over 35 years has provided university, government, and industrial researchers with access to several of the most powerful systems for advanced computational research, communications and data storage available to scientists, engineers, and scholars nationwide for unclassified research. PSC advances science across a wide spectrum of fields, including artificial intelligence/machine learning, medical imaging, weather modeling, cell biology, and genomics.

The Communications Project Coordinator plays a vital role in orchestrating the behind-the-scenes logistics that bring high-impact events and initiatives to life. From coordinating on- and off-campus meetings to managing visits from a diverse array of stakeholders, this position ensures every detail is thoughtfully executed. This role will be the go-to for organizing dynamic programming and special events that elevate our mission and connect our community. In addition to event coordination, the Communications Project Coordinator provides essential day-to-day support that keeps operations running smoothly. Responsibilities include managing calendars, preparing and refining presentation materials, and serving as a liaison across departments and with external partners. The role also supports the development and execution of strategic communications by collaborating with subject matter experts and contributing to marketing initiatives. With a focus on discretion and professionalism, this position regularly handles sensitive information and requires a high degree of adaptability as the organization continues to grow and evolve.

Core responsibilities include:

  • Coordinate project timelines, deliverables, and stakeholder expectations to ensure successful execution.
  • Manage administrative responsibilities including managing time commitments (calendar) and respective prioritization, communications, correspondence, reports, interactions with other members of the management team and academic community.
  • Coordination of agendas, minutes, and meeting materials within the office and within the management team.
  • Develop communication materials or implement communications plans. Establishes communication policies or procedures. Assesses assigned area’s communication needs and objectives. Works with senior management to develop and approve comprehensive communication plan.
  • Assesses effectiveness of communications campaigns. Solicits feedback from stakeholders and identifies areas for improvement. Incorporates improvements into future communications plans.
  • Determines needs, materials and implementation of communications including medium for delivery and technical resources. Acts as a project coordinator to ensure objectives are met.
  • Coordination and planning of on-site and off-site events. Includes managing logistics for securing space, catering, travel, scheduling, etc.
  • Maintain project records and documentation for future reference and reporting purposes utilizing Google Drive and Box.
  • Coordinates and aligns web-based communication projects for Pittsburgh Super Computing Center (PSC) , in conjunction with the communications team.
  • Assist in the development and execution of communication strategies and campaigns.
  • Coordinate communication projects, including content creation, social media, press releases, newsletters, and internal communications.
  • Monitor and analyze key performance indicators (KPIs) to measure the success of campaigns and initiatives.
  • Maintain a content calendar to ensure consistent and timely communication.
  • Assist in writing, editing, and proofreading various communication materials.
  • Support event planning and promotional activities as needed.
  • Ensure brand guidelines and messaging consistency across all platforms.
