Job description

Smithsonian Enterprises is currently seeking a Communications and Project Coordinator to join our team. Reporting to the Executive Director, the Communications and Project Coordinator will work to ensure effective pan‑Smithsonian internal and external communications, including executive communications, and will support various executive and corporate projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Assist in the creation of and data collection for presentations, memos, and emails to Smithsonian Institution (SI) units and leadership and will facilitate the distribution of these documents.
  • Assist in writing, editing, and distributing communications across Smithsonian Enterprises (SE) and SI to ensure SE staff and other units are updated on key administrative and business concerns of the unit.
  • Works with Human Resources to ensure distribution lists are kept up‑to‑date and communications are relevant to all staff.
  • Assist with planning and coordinating SE All‑Staff meetings, writing the annual report, and assisting with the creation and distribution of SI‑wide communications from SE businesses.
  • Advise in development and improvement of internal communication strategy to most effectively reach and engage with employees. Responsible for publishing the SE Annual Report.
  • Supports manager as SE liaison to SI’s Office of External and Public Affairs to ensure SE is aware of SI communications policies and procedures.
  • Assist with the creation and distribution of communications, such as press releases, about SE businesses to external stakeholders.
Projects
  • Serves as backup for meetings and daily operations for projects in the Office of the President.
  • Supports manager with project management and communications support to ensure the President and other key stakeholders are informed and updated on the progress of each project.
  • Assist manager with pan‑Institutional units and initiatives.
REQUIREMENTS AND QUALIFICATIONS

Applicants must possess a Bachelor’s degree from a four‑year college or university in communications, marketing or a related field, and 3‑5 years of experience in marketing, communications, or administration.

  • Experience supporting all levels of management in an organization including at the executive level.
  • Experience with project management and tracking implementation and completion to meet goals.
  • Experience with planning and supporting team and company meetings.
  • Highly organized with strong attention to detail and the ability to respond to needs efficiently and effectively in fast‑paced work environment.
  • High level of professional and personal judgment and discretion; maintain confidentiality with sensitive information.
  • Experience and talent working both independently and, in a team‑oriented environment.
  • Strong written, verbal communications, interpersonal and diplomacy skills to convey complex concepts clearly, compellingly and succinctly to diverse audiences.
  • Ability to balance a demanding workload with competing priorities.
Salary

Salary: Up to $69,000 annually, commensurate with experience.
