Job summary

Enact Partners in Carlsbad, CA seeks a detail-oriented Commercial Loan Administrator to help manage our active CRE loan portfolio from closing through servicing and payoff. This hands-on role rewards organization, follow-through, and deadline discipline.

You will coordinate with borrowers, title and escrow, loan servicers, insurance brokers, fund administrators, and outside counsel to keep items moving, maintain data accuracy, and support audits and reporting.

Qualifications

  • 4+ years in commercial lending, loan servicing, or related ops.
  • Knowledge of loan docs, escrow, payoff processing, maturities, extensions, insurance, and wire controls.
  • Strong numerical, reconciliation, and reporting skills.
  • Excellent organization and ability to manage multiple deadlines.
  • Experience with private or bridge lending is a plus.

Job description

Enact Partners is a commercial real estate lending firm built on trust, disciplined underwriting, and long-term thinking. Based in Carlsbad, CA, we originate and service bridge, construction, and land loans ranging from $500K to $10M across 30+ states, operating two funds: the EP Guardian Fund (EPGF) and the Enact Opportunity Fund (EOF).

We are looking for an organized, detail-oriented professional to help administer our active commercial real estate loan portfolio from closing through servicing and payoff. This is a hands‑on role for someone who enjoys keeping transactions organized, following through on details, and making sure deadlines, documents, and servicing items do not fall through the cracks.

Working closely with the Vice President of Operations and the lending team, you will coordinate with borrowers, title and escrow, loan servicers, insurance brokers, fund administrators, and outside counsel. The role is focused on execution, tracking, coordination, and accuracy.

Key Duties and Responsibilities
Portfolio Administration and Loan Servicing
  • Maintain the active loan portfolio calendar, including maturities, payment status, insurance requirements, extension dates, recurring reporting items, and other key deadlines.
  • Prepare and process payoff demands, extension and modification documentation, construction draw packages, funding requests, and other servicing items for review and approval.
  • Coordinate with borrowers, loan servicers, title and escrow, insurance brokers, outside counsel, and internal team members to keep portfolio action items moving.
  • Maintain accurate loan, borrower, and pipeline data; organize loan files; support audits, reconciliations, and recurring portfolio reporting.
Loan Closing and Settlement Coordination
  • Review settlement statements, loan documents, deeds of trust, closing checklists, and related documentation for completeness; coordinate title and escrow, signing, and wire/funding timing under established procedures.
  • Track outstanding closing conditions, certificates of insurance, entity documents, recorded documents, and post-closing items through completion.
Fund and Reporting Support
  • Assist with fund cash‑position and lending‑capacity schedules, borrowing‑base support, pledge requests, and related reporting as directed.
  • Coordinate monthly loan and portfolio information with the fund administrator and internal team; identify discrepancies and follow through until resolved.
  • Maintain recurring portfolio reports, dashboards, and tracking schedules.
Team and Process Support
  • Support the lending and operations teams with portfolio priorities, follow‑up items, document collection, and transaction coordination.
  • Help improve checklists, workflows, and data consistency to make closing and servicing processes more efficient and reliable.
Required Qualifications
  • 4+ years of experience in commercial lending, loan servicing or operations, escrow, title, banking operations, or commercial real estate transaction administration.
  • Working knowledge of loan documents, title and escrow, payoff processing, maturities and extensions, insurance requirements, and wire/funding controls.
  • Comfortable working with numbers, reconciliations, interest calculations, and recurring financial or portfolio reports.
  • Strong attention to detail, organization, and follow‑through, with the ability to manage multiple deadlines at the same time.
  • Proficiency with CRM, document‑management, and reporting systems; comfortable learning new software and maintaining accurate data.
  • Professional written and verbal communication skills and the ability to coordinate effectively with borrowers, vendors, and internal team members.
  • Experience with private or bridge lending, construction draws, or commercial real estate loans is a plus.
How this role handles Accounting and Legal

This is not an accounting or legal position. Fund accounting is handled by our fund administrator and bookkeeping function, while loan‑document drafting and litigation are handled by outside specialists. The Commercial Loan Administrator coordinates information, tracks deliverables, and escalates issues to the Vice President of Operations and management as appropriate.

Compensation: $75,000-$90,000, plus Profit Participation (typically $15,000/year) based on experience. Benefits: start after 90 days.
