Job summary

Henricksen in Minneapolis, MN is seeking two Project Coordinators to join our team. You will support Account Executives and the project team through the sales process, executing order management and coordinating between internal teams, vendors, and clients to ensure timely project delivery.

You will manage quotes, verify client sign-offs, track shipments, and resolve logistics and warranty issues while maintaining high levels of customer service and collaboration across cross-functional teams.

Qualifications

• High school diploma or equivalent required.
• Proficient in Microsoft Office365 applications (Word, Excel, PowerPoint).
• Ability to take direction and work both independently and in a team.
• Detail- and task-oriented with strong organizational and problem-solving skills.
• Strong verbal and written communication skills.
• Preferred: experience in contract furniture, design, or construction industries; knowledge of IBM Quantum, CAP Quoting, AS400.

Responsibilities

• Serve as the main support to Account Executives and project team throughout the sales process.
• Execute order management requirements across internal Customer Support, vendors, and clients.
• Act as central hub to drive quality of project delivery, engagement, outcomes, and service.
• Enter and manage orders, prepare quotes with accurate discounts and markups, track deliveries.

Job Summary

We are seeking two (2) Project Coordinators to join our Minneapolis, MN team. The Project Coordinator serves as the main support to Account Executives and project team throughout the sales process. They will execute order management requirements for projects as a key collaborator across the internal Customer Support team, vendors, and clients. They will act as the central hub that drives overall quality of project delivery, engagement, outcomes, and service.

Responsibilities:

• Project Relationship Management. Engage and execute work as directed and in alignment with project role, accountabilities, and core process. • Order Entry and Management. Prepare quotes to clients using specification support software and with accurate vendor discounts and Account Executive markups applied. Place orders and maintain status reports. Maintain accountability for required client sign-off verification's. Reconcile manufacturer acknowledgments and vendor invoices. Track product to designated location and schedule transactional deliveries. Stay connected with Account Executive, Designer, and Project Manager throughout the quote to order process.
• Logistics and Issue Resolution. Resolve punch-list issues, file freight claims, and place orders for replacement products. Maintain project workbook to ensure ongoing order organization and real-time communication. Identify and resolve issues related to service warranties.
• Customer Service. Maintain a professional and positive demeanor across situations, clients, and vendors. Communicate with transparency and professionalism across project team to promote exceptional client experience. Adapt to project and client needs in alignment with core process and service level expectations.
• People and Culture Development. Perform work and engage in support of organization culture and expectations. Establish and nurture inclusive relationships with colleagues and within project teams. Maintain accountability for ongoing learning and improvements required to perform job.

Requirements

Qualifications - Education and Experience

Required:

• High school diploma or equivalent required
• Proficient in Microsoft Office365 applications (including MS Word, Excel, and PowerPoint)
• Ability to take direction
• Detail and task-oriented with proven organizational and problem-solving skills
• Work independently and collaboratively in a fast-paced, deadline-driven, and team environment
• Strong customer service and interpersonal orientation
• Strong verbal and written communication skills
• Strong ability and willingness for continued learning and professional development

Preferred:

• Knowledge working in IBM Quantum, CAP Quoting, and AS400 software programs are a plus
• Previous experience working in the contract furniture, design, or construction industries
• Exposure/Experience with bidding and quoting preferred
• Bachelor's or Associates degree in business, sales, design, real estate, construction or related field

Hourly pay range:

$28.50 - $39.00 per hour
