Job description

Overview

The Winthrop Group is conducting a personnel search for a full-time Collections Archivist to work in the business archives of a high-profile financial services firm. This is a 16-month position, with the possibility of extension based on client requirements and satisfaction. The Collections Archivist will be based onsite at one of the company’s offices in New York City, with some work at an offsite storage facility in New Jersey. Typical work hours are from 8:30am-5:00pm or 9:00am-5:30pm. Employment is subject to a background screening, signing of a non-disclosure agreement, and completing client’s onboarding process.

Position Summary

The Collections Archivist will work in close collaboration and be supervised by the Archivist for the Firm Historian Office. The Collections Archivist will be responsible for processing collections, supporting the upgrading of the Archives operations and services, and implementing a prioritized workplan aligned with organizational priorities. Tasks will include archival processing, policy development, digitization management, fulfilling reference requests, and supporting outreach, as requested. The Collections Archivist will serve as Winthrop’s onsite archivist and will coordinate with the rest of the Winthrop team and the client’s team involved with this project.

Key Responsibilities
  • Processing, Access, and Outreach
    • Evaluate inventories, processes, and work completed to date
    • Survey physical and digital collections, as needed, to assess processing requirements, priorities, and preservation concerns
    • Implement prioritized workplan and hierarchical arrangement in coordination with Archivist for the Firm Historian Office
    • Process archival materials and develop finding aids and other access tools
    • Respond to reference requests and conduct archival research, as requested
    • Promote company heritage through content development, exhibits, tours, writing, and anniversary projects, as requested
    • Establish and/or revise workflows and other processes to expand access, use, and preservation
    • Digital Asset Management – in coordination with Winthrop Digital Archivist
  • Software and Digitization
    • Support implementation of archives software and selected vendor team
    • Enhance access to metadata, discovery tools, and online resources
    • Implement a process for transferring and processing born-digital assets to the Archives
    • Advise, as needed, on software needs for collection management, exhibits, and digital preservation
    • Digitization – Manage digitization of high-priority materials by outsourced vendor
  • Collection Storage & Supplies
    • Develop plan for onsite collections storage and workspace, if requested
    • Support management of onsite and offsite storage in collaboration with Firm Archivist, if requested
    • Coordinate transfer of records to/from offsite storage, as needed
    • Manage ordering of required archival supplies
  • Communications
    • Serve as the primary onsite liaison between Winthrop and the client
    • Meet on regular basis with client and Winthrop team
    • Maintain project progress reports to track work and activities
    • Troubleshoot and resolve issues in coordination with client and/or Winthrop supervisor
Required Qualifications
  • Minimum of 3-5 years of professional experience in archives
  • Strong archival processing experience and capabilities
  • Demonstrated track record of implementing archival standards and best practices
  • Knowledge of preservation and conservation standards for archival collections
  • Able to manage time effectively and work productively in a dynamic, high-paced corporate environment
  • Proactive problem solver who anticipates needs and proposes solutions
  • Clear and concise communicator, in speech and writing

Preferred Skills
  • Experience working in business archives or corporate setting

Compensation

Annual: $72,000 - $85,000 commensurate with experience. Includes strong benefits package (health, dental, and vision) and life insurance. All full-time Winthrop employees receive paid time off and annual funding and support for professional development.
