Job summary

College of Pastoral Supervision and Psychotherapy is seeking a Certified Medical Assistant to support patient intake, vital signs, and charting. You will maintain accurate health records, prepare exam rooms, and assist clinicians with patient care while ensuring HIPAA compliance and professional communications.

The role requires experience with EMR systems, CPT/ICD-10 coding, and strong customer service skills to coordinate tests, referrals, and follow-ups.

Qualifications

  • Graduate from an accredited Medical Assistant program.
  • Knowledge of CPT and ICD-10 coding.
  • Experience assisting physician with patient care (vitals, specimen collection).

Responsibilities

  • Obtains vital signs and enters data into patient charts.
  • Maintains up-to-date health records and ensures documentation is complete and accurate.
  • Triages patients and manages EMR entries for referrals and follow-ups.
  • Maintains exam rooms and medical equipment for patient visits.
  • Assists with safety checks and HIPAA compliance in documentation and PHI handling.
  • Answers phones and routes calls, taking accurate messages.
  • Supports continuity of care with timely follow-up and note accuracy.
  • Performs other duties assigned by clinic manager or provider.

Job description

Overview

Obtains vital signs and general health information for patient chart and prepares patients for examination.

Maintains patient health record in an up-to-date status especially regarding current medicationsheet.

Assures documentation is complete, concise, andcorrect.

Prepares and maintainsexam rooms and medical equipment for patient visits.

Contributes to plan of care for individuals and groups of patients utilizingall principles to reduce medication errors when handling or calling in medications orrefills.

Demonstrates initiative in suggesting and implementing problem solving approaches and planning performance ofservice.

Prepares and maintainsexam rooms and medical equipment for patient visits regardingall safety checks and HIPAA guidelines and adapt same HIPAA principles to chart documentation and exposure, as well as discussing PHI in front of anyone other than patient.

Triages patients and enters accurateand concise data into the EMR while paying attention to spelling andclarity.

Navigates the EMR system in an efficient manner.

Facilitates quality care management thrubest practice utilizationof the clinic EMR.

Promotes continuity of care seen by appropriate actionsnotes and prompt followup.

Answers phones, routes calls and or takes accuratemessage.

Demonstrates a sense ofurgency relating to patient's level ofdistress.

Triages basic patient care needs, generating a telephone encounter depending upon the situation. Assure a duplicate message has not already beenstarted.

Maintainscurrent accurateup to date demographic and insurance information for all patients. Performs according to policy regulations associated with Privacy Notification, Medicare secondary, signed demographic registrations, consent to treat minor,etc.

Identifiesbarriers related to Social Determents of Health (SDOH) and notifiesprovider.

Verifies insurance eligibility, scans insurancecard.

Monitors appropriate work queues for follow-up. Assists other clinic personnel in follow upto ensure patient compliance, receipt of test results and reports from specialists. Be proactive in contacting patient with testresults.

Ensures orders are entered correctly to capture appropriate charges.

Refills medications according to medication refill guidelines.

Identifiesbarriers relevantto patient's individual needs being financial, emotional,physical, cultural, or spiritual(SDOH).

Astute and sensitive to patient satisfaction as it pertains to customer service- people skills inall clinicalsituations.

Other duties as assigned but within the scope of practice for the CMA/RMA by the clinic manager and/or provider.

Qualifications

CMA-Must be a graduate from an accredited Medical Assistant program. Knowledge of practice management systems, office automation skills, and extensive knowledge of CPT and ICD-10 coding. In addition, must possess experience assisting physician with patient care (vital signs, specimen collection, etc.).
