Position Summary: Responsible for providing direct and comprehensive administrative support to the hospice IDG clinical team, which encompasses medical records, scheduling, QA activities, and IDG documentation support.

Hours / Schedule: Full Time; (40) hours / week.

Minimum Qualifications:

  • Education: Diploma/Degree in nursing with a Licensed Practical Nurse (LPN) or related field from an accredited college or university or the international equivalent is preferred.
  • Experience: One (1) year experience in clinical records management, preferably in hospice care operations. Knowledge of information systems required.
  • Certification/Licensure: LPN is preferred. Accredited Records Technician Certification is also preferred.

Key Responsibilities:

  • Manage all daily clinical records functions including establishing and implementing clinical records policies.
  • Ensure clinical record systems are maintained in compliance with state, federal, and ACHC regulations.
  • Maintain comprehensive knowledge of documentation regulations and serve as a resource for organization personnel.
  • Protect all clinical records through control procedures for open and closed records.
  • Maintain confidentiality of patient and organization information.
  • Forward copies of clinical records to authorized users according to policy.
  • Complete administrative record audits after patient discharge and forward to Clinical Manager.
  • Monitor aged unsigned physician orders and follow up with physicians.
  • Supervise the use of the clinical records information system and stay updated on system upgrades.
  • Recruit, select, orient, and manage the clinical records team.
  • Support scheduling activities and coordinate with clinical, administrative, and leadership teams to meet patient and family needs.
  • Perform other duties as assigned to support department goals.
  • Demonstrate collaboration with IDG members and knowledge of hospice operations standards.
  • Maintain good communication and public relations skills.
  • Show autonomy, organization, assertiveness, flexibility, and cooperation.
  • Knowledge of information systems required.
