POSITION SUMMARY: The Clinical Support Specialist III (CSS III) is part of the Health Information Management (HIM) department. This position will be filled by senior front line/non-supervisory members of the medical records section of the HIM department. To be placed into this position, a person must have a minimal of five years’ experience in the HIM department. This position will provide additional training and support to newer and less experienced members of the team. This position will provide a variety of support to the clinical team to possibly include (but not limited to) hospital admission tracking, covid tracking, various EMR tasks such as messaging, tasks, and importing documents. and The CSS functions as a liaison between Rocky Mountain Health Care Services (RMHCS) outside facilities to ensure that clerical aspects of care coordination are supported (authorizations, admissions, correspondence, etc.).

RESPONSIBILITIES AND DUTIES:
DEPARTMENTAL (JOB SPECIFIC TASKS):
The principal duties of this position shall consist of but are not limited to the following:
- Provide a variety of reports upon request from internal customers.
- Assists with the training of newer and less experienced team members.
- Function as a senior member of the group with the ability to provide guidance in the absence or unavailability of the HIM Manager and HIM supervisor.
- Enters and updates information in the electronic health record to ensure consistency with documentation.
- Scans and indexes health information and correspondence into the electronic health record.
- Data retrieval for RMHCS medical providers, as requested, from participant’s diagnostic purposes.
- Assist with the mailing/distribution of participant Care Plans
- Participates in continuing education classes and any required staff and training meetings.
- Maintains the confidentiality of all company procedures, results, and information about participants, clients, or families.
- Ensures that documentation for new enrollees is available for coding and clinical staff to assign medical history and review for care.
- Requests medical records in conjunction with participant stays.
- Will maintain authorization performance statistics and report the results as requested.
- Must be able to analyze medical record documentation to determine length of stay, status type, and medical records that are associated with related stay.
- Supports other HIM department roles in the integrity of health and financial information within the electronic medical record.
- Administrative support to assigned team or discipline.
- Will assist as needed with QA activities as they arise.
- Other duties as requested/assigned.

QUALIFICATIONS AND REQUIREMENTS:
- 5 years’ experience within the HIM department.
- Previous performance evaluations must document above average performance
- No documented history of disciplinary issues to include but not limited to – excessive lateness, poor attitude, serious conflicts with peers, etc.
- The individual must be in compliance with all basic company rules necessary for employment.
- Knowledge of medical terminology preferred.
- Broad knowledge base of health care problems of the frail elderly.
- Strong knowledge of electronic medical records and experience with using electronic medical records, knowledge of records forms and formats.
- Skilled in tracking and trending data.
- Skilled in identifying problems and recommending solutions.
- Skilled in preparing and maintaining records and writing reports and responding to correspondence.
- Skilled at locating specific data in medical records.
- Excellent written and verbal communication skills with both internal and external customers required.
- Must have a current Colorado Driver’s License and driving record must be in compliance with Company policy. Must maintain current automobile insurance.
- Skilled in establishing and maintaining effective working relationships with participants, co-workers, vendors, medical staff, and the public.
- Must be free of communicable diseases that can be readily transmitted in the workplace. TB test is required within first 7 days of employment. Hep B vaccinations are offered but not required. (This is a requirement for direct care, transportation or ALL positions only)
- Operates in full compliance with all applicable federal, state, and local fire, health, safety, sanitation, Emergency procedures and other Standards prescribed in law or regulations.

While performing the duties of this job, the employee is frequently required to stand; walk; lift heavy objects; sit; use hands to finger, handle or feel objects, tools, or controls; talk, see, hear and smell. Requires full range of body motion, manual and finger dexterity, and eye-hand coordination; requires the ability to use department equipment, to communicate effectively; The employee is occasionally required to reach and stretch with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. The employee may be required to endure extremes in temperature and may work in hazardous environments where personal protective equipment is required.
- Visual, Hearing and Communication Requirements - Requires corrected vision and hearing to within normal range, with or without reasonable accommodation. Must be able to communicate effectively in verbal and written form with all levels of personnel within and outside of the organization.
- Pressure Factor - Requires working under stressful conditions. Moderate pressure to meet scheduled and recurring deadlines.
- Environmental Conditions – Working in a closed office environment. Workspace may be shared. Working conditions may be noisy with fluctuating indoor temperatures. May be exposed to a risk of bodily injury through contact with moving instrumentation, substances and other conditions common to an office environment.
